Pro Source, a leader in the right of way, acquisition, and relocation industry, is searching for an Document Specialist II for an ongoing project located in La Porte, Indiana. Headquartered in Minneapolis, MN, Pro Source is poised for expansion and growth and are looking for the perfect Document Specialist to add to our team.
This position will be worked onsite in La Porte, Indiana, no per diem will be available.
DescriptionThe Document Specialist II focuses on independently managing complex documents and processes from reviewing records for accuracy, preparing documents as needed for project assignments, and working alongside other team members to ensure accuracy and completeness. This role represents the mid level tier of Pro Source’s Acquisition Career Framework.
Responsibilities &Essential Job Functions:
Document Specialist II will be responsible for the following tasks:
- Assist with training and mentoring of entry level staff on document procedures and standards.
- Independently prepare and format documents using templates (deeds, easements, permits, tracking forms).
- Verify legal description, ownership data, parcel information and supporting records.
- Creating, coordinating, and maintaining all controlled document files, both hard copy and electronic versions.
- Communicate effectively with other team members to resolve missing or incorrect information.
- Identify and implement improvements to document management system.
- Ensure documents meet all company and regulatory standards.
- Coordinate document flow between ROW agents, attorneys, and project teams.
- Review and quality-check work completed by entry-level document specialist.
- Submit documents for recording with correct county or agency offices.
- Assist with project completion documentation and archiving.
- High School Diploma or its equivalent;
Associate degree in business, legal studies, real estate or related field preferred. - 3-5 years of experience in administrative, legal, clerical, or document control experience.
- Demonstrated experience preparing and reviewing complex documents.
- Strong working knowledge of document workflows and recordkeeping practices.
- Ability to work independently or with a group and prioritize tasks effectively.
- Effective written and verbal communication skills.
- Strong attention to detail and accuracy.
- Excellent communication and interpersonal skills.
- Proficiency in Microsoft Office and other relevant software applications.
The Document Specialist II will spend a significant amount of time working in the office, using a computer and other standard office equipment. The position will require regular travel to meet with landowners, businesses, or any other viable entities. The job may require sitting or standing for extended periods of time and may involve some light lifting or carrying documents or equipment.
