Office Professional 6 – Senior Administrative Specialist
Position SummaryThese positions provide critical technical, analytical, and office management support for a major division of the school district. Incumbent serves as the senior technical/clerical staff member responsible for supporting the office administrator and, as appropriate, providing administrative and technical leadership to department office staff.
Incumbent assists the department administrator in managing record systems, planning, organizing, and participating in administrative, clerical, and data management operations. Responsibilities include maintaining a close liaison with schools, district employees, vendors, and other educational facilities; managing calendars, scheduling appointments, travel, and conference arrangements; establishing work plans; delegating duties; monitoring progress and assessing program effectiveness.
Major Duties and Responsibilities- Clerical and Technical Support – Provide clerical and technical support to the office administrator and other staff. Maintain records, schedule meetings, format and process correspondence, staff evaluations, forms, memoranda, and reports.
- Office Management – Greets patrons, directs routine matters, answers telephones, routes mail, manages the office budget and supplies, oversees office equipment, establishes office procedures, trains staff, maintains staff time and attendance, prepares payroll forms, and arranges substitutes.
- Records and Files – Establish, maintain, distribute, and archive office records; retrieve records; coordinate with HR for public record requests; maintain online data and documents.
- Office Budget and Administration – Maintain office budget, purchasing, travel, credit card use, inventory records, and payment of purchase orders.
- Research and Reports – Gather background information, conduct research, prepare data for the office administrator, and submit required reports.
- Other duties as assigned by the administrator.
- Enrollment Reporting – Collect, compile, balance, verify, and submit enrollment reports (P223, P223H, etc.) to OSPI.
- Federal Impact Aid Application – Create, compile, and process survey forms; follow up with parents; submit application and respond to revisions.
- Manage contract pay for specific groups.
- Coordinate benefits for specific groups.
- Time off and leave reporting and auditing.
- Audit sub payroll and reconcile billing reports.
- Skyward/Citrix Fiscal Security – Process security requests and changes.
- Accounts Payable – Pro‑card audit and JV corrections.
- Purchasing for district office departments and programs.
- Provide training.
- Skyward/Citrix Fiscal Security – Process security requests.
- Time and Effort Reporting – Run reports, verify employees.
- Audit ASB Fundraisers – Request packets, audit, report findings.
- Audit and reconcile financial transactions and accounts.
- Daily and monthly auditing and balancing of district accounts.
- Process accounts receivable.
- Medicaid Match program.
- Contract management and vendor processing.

- Process 1099 and tax liability.
- Experience working with culturally diverse families and communities or demonstrated commitment to strengthening engagement of a diverse community.
- High school graduation or equivalent.
- Three (3) years of progressively responsible office experience including accounting, bookkeeping, and payroll processes; or a combination of professional education and experience equivalent to four (4) years.
- Ability to resolve problematic situations involving diverse and conflicting goals.
- Ability to establish a strong understanding of programs; conduct thorough research and resolve complex problems.
