Employment Begins: 2025‑26 school year

8 hours/day, 5 days/week, 236 days/year

Position Summary

These positions provide clerical and office management support for a major division or subdivision of the school district. The incumbent serves as the senior administrative/clerical staff member responsible for supporting the building/department administrator and, as appropriate, providing administrative leadership to the office staff.

Major Duties and Responsibilities
  • Clerical Support. Provides clerical support to the office administrator, building principal and other administrative staff. Maintains appointment calendar, schedules meetings, formats and types correspondence, staff evaluations, forms, memoranda, and reports. May type and distribute staff bulletins and newsletters, schedule staff meetings and record and transcribe meeting minutes. Assists in preparing business communications, travel arrangements, and required paperwork. Maintains confidential records, evaluations, emergency procedures and information.

    May have authorization to sign designated forms. Initiates and provides guidance in preparing personnel documents such as injury reports.
  • Office Management. Greets visitors, answers telephone, screens calls, routes mail, manages office budget, supplies, and equipment. Assists staff with equipment use, identifies repair and maintenance needs, tracks work orders, maintains calendar of events and deadlines, implements office processes, trains staff, maintains staff time and attendance records, prepares payroll forms, arranges substitutes, and ensures coverage during absences.
  • Support of Office Work and Productivity. Prepares and maintains documents, data, and information that support office functions. Provides background information, records, and files needed by staff.
  • Records and Files. Establishes, maintains, distributes and archives office records per state and district policies. Retrieves records, coordinates with Human Resources, and responds to public records requests. Maintains online data as required.
  • Budget Administration. Sets up and maintains office budget and expenditures, manages purchases, tracks credit card use, orders supplies, reconciles expenditures, and prepares bimonthly reports for Financial Services.
  • Research and Reporting. At the request of administration, gathers background information, conducts research, and prepares usable data, spreadsheets, or summary documents.
  • Adheres to Board policies and remains aware of updates.
  • Performs other duties as assigned by administrator.
Specific to Elementary Fiscal, Principal Support
  • Direct support to Principal.
  • Maintain facility use schedule and log/control keys for the entire building.
  • Coordinate and manage field trips.
  • Manage fees and fines.
Specific to Middle School Fiscal, Principal Support
  • Coordinate and manage field trips.
  • Direct support for Principal.
  • Print report cards, manage parent conferences in Skyward, and manage school website.
Specific to High School Fiscal, Principal Support
  • Direct support to Principal.
  • Maintain facility use schedule and log/control keys for the entire building.
Specific to High School Registrar
  • Register and withdraw students.
  • Transcribe, evaluate, and mail all student transcripts to prospective colleges and state districts.
  • Produce monthly enrollment and dropout reports for the district.
  • Maintain Student and Family Access.
  • Collaborate with outside agencies.
Specific to High School Scheduling
  • Direct support to Assistant Principal to create and maintain the Master Schedule.
  • Develop and maintain course catalog.
  • Primary contact for Data Mining reports.
  • Assist with Summer registration.
  • Backup to Senior Administrative Assistant.
Specific to High School ASB
  • Oversee all financial aspects of the ASB program.
  • Maintain understanding of ASB law, policies and procedures.
  • Serve as resource for advisors and coaches in fundraising.
