Summer Programs Coordinator

Salary: $ 35hr temporary - position not benefits eligible

The Summer Programs Coordinator leads and administers cultural programs, providing opportunities for international students from global partnerships to participate in short term summer exchanges. The Summer Programs Coordinator will design, implement and oversee the summer cultural exchange programs here at Saint Martin's University.

For over 30 years, Saint Martin's has hosted students from our partner high schools and Universities abroad for short term summer cultural programs.

The students come from China, India, Japan, Korea, Taiwan and Vietnam. They participate in English and U.S. culture workshops, community service projects, on and off-campus activities and Pacific Northwest field trips, such as trips to Mount Rainier, the state capitol, Seattle and various museums.

ESSENTIAL FUNCTIONS & RESPONSIBILITIES

Program design:

* Design, develop and implement program itineraries incorporating ideas and feedback from program partners

* Design and implement survey tools for summer program participants

* Distribute and collect required forms and waivers related to summer program participants (e.g. field trip waiver forms, emergency information and medical information forms, press release form, and conference card management)

Program implementation:

* Coordinate scheduling and monitoring of summer program transportation needs using Saint Martin's vehicles and other transportation companies as needed

* Establish work schedules for program leaders, student ambassadors and drivers

* Coordinate the day to day operations of the summer programs, to include a daily touch base with the assistant dean and others involved in summer programs at the beginning of each day

* Assist with training summer program staff and ESL instructors

* Performs other duties as assigned

COMPETENCIES

* Ability to multi-task and work in a busy work environment with evidence of being highly organized

* Demonstrated ability to work successfully with international students

* Demonstrated understanding of and commitment to international education, diversity and inclusion

* Strong interpersonal communication skills and the ability to communicate effectively with co-workers, students and constituents

* Must be willing to drive a 12-passenger van to transport students/visitors to and from events upon successful completion of Saint Martin's driving certification

* Ability to problem solve and perform under time-pressured situations

* Must be supportive of a Catholic, Benedictine philosophy of education

REQUIREMENTS AND/OR CONDITIONS OF EMPLOYMENT

Required qualifications

* Bachelor's degree

* Demonstrated event planning experience

* Excellent Excel, Word and Publisher skills

* Demonstrated leadership skills with the work independently

* Detail oriented

* Excellent communication skills a must

Preferred qualifications

* Previous experience with international exchange students

* Previous experience traveling or living internationally

* ESL teaching experience

PHYSICAL DEMANDS AND WORKING ENVIRONMENT

Work is performed in a standard office environment. Physical demands include:

* Moves objects (less than 20 pounds) long distances (more than 20 feet).

* Ability to be mobile campus wide for appropriate business needs.

* Operates a variety of standard office equipment requiring continuous or repetitive arm-hand movements.

* Reading, writing, speaking, hearing, standing, bending, sitting.

* Learning and comprehending.

* Requires visual concentration on detail.

* Manual dexterity and precision required for keyboarding

* Must be able to sit for long periods at a time at a computer

* May occasionally be required to deal with distraught people.

* Must be able to concentrate on details and process complex information while experiencing frequent interruptions.

* Must be able to communicate effectively with people at all levels under stressful conditions.
