Job Summary:

Coordinates documents and gathers and inputs data related to assigned administrative support duties for a team, department, function or other organizational leader/group. Performs activities under a moderate degree of supervision.

Key Responsibilities

Provides administrative support by conducting research, preparing statistical reports and addressing routine information requests. Gathers, compiles and verifies information and enters it accurately into documents such as reports, presentations or forms; and office systems such as databases or spreadsheets. Assists with data collection, data entry and report generation on various departmental related activities. Assists with associate functions such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings.

Responds to, or redirects, routine inquiries from external or internal sources about the organization/department, its activities, or processes so callers/visitors are answered promptly and accurately. Prepares documentation for payment of vendors, suppliers and other third parties as applicable; submits documentation and enters request for payments into accounting system; responds to inquiries from accounts payable and payees. Documents and maintains departmental policies and procedures.

Participates as a team member on departmental related business improvement assignments and projects as needed. Performs other routine administrative activities as needed per the established procedures of the organization and/or department.

Education, Licenses, Certifications

High school diploma or certificate of completion of secondary education or equivalent experience to the extent such experience meets applicable regulations.

This position may require licensing for compliance with export controls or sanctions regulations.

Experience

Requires some work experience or intermediate level knowledge obtained through education, training or on-the-job experience.

Qualifications
  • Partner closely with the other site administrators (CTP & CRP) to ensure consistent alignment, messaging, and coordination across all Charleston campus facilities.
  • Support creation, formatting, and maintenance of PowerPoint decks, Excel trackers, and visual content for specific meetings and internal communications.
  • Assist with drafting memos, announcements, recognition posts, and other communications on behalf of the warehouse leadership team to reinforce transparency, engagement, and site culture.
  • Lead coordination and execution of culture-building activities, including employee recognition, milestone celebrations, team events, tours, and workshops; serve as the logistics and communications liaison for warehouse-wide functions.
  • Support onboarding of new exempt and hourly employees by coordinating introductions, site tours, training logistics, and early engagement touchpoints to ensure a strong first 90 days experience.
  • Track and maintain key warehouse administrative documents including rosters, org charts, meeting cadence trackers, communication boards, and site calendars.
  • Provide basic project and initiative support (meeting minutes, action item tracking, SharePoint updates, follow-ups) to enable execution and accountability across logistics priorities.
  • Ensure clear communication flow and alignment between warehouse operations and support functions (HR, IT, Finance, Facilities, Safety, etc.) through proactive coordination.
