We are seeking a highly organized, proactive administrative professional to provide executive-level administrative and technical support to senior leadership
, executives, and physician leaders
. In this role, you will manage calendars, support programming initiatives, and serve as a trusted partner to leaders in a fast-paced, highly visible environment that requires discretion, flexibility, and sound judgment.

Executive & Multi-Leader Administrative Support
The Administrative Coordinator plays a critical role in supporting executive and physician leadership by ensuring seamless day-to-day operations, proactive coordination, and clear communication. This role supports leaders within a dynamic, matrixed environment where priorities change frequently and confidentiality is essential.
The position supports work within a matrixed and complex environment
, collaborating across teams to manage schedules, meetings, documentation, financial processing, and reporting needs.
Candidates for this position will be evaluated according to the following criteria and competencies.
RequiredBachelor's Degree or equivalent years of experience
3-5+ years of relevant administrative experience
Demonstrated experience managing work independently with minimal direction
Intermediate proficiency in Microsoft Office (Word, PowerPoint, Excel)
Intermediate experience receiving, analyzing, and interpreting complex data and information
Strong organizational, time -
management, and communication skills
Experience working in a matrix organization or complex work environment
Experience multiple leaders or senior leadership
Executive-Level Administrative Excellence
Executive & Physician Support:
Provide comprehensive administrative and technical support to COP, COE executives, and physician leaders, ensuring priorities are managed effectively and confidentially.Calendar & Scheduling Management:
Manage high-volume, complex calendars, coordinating meetings across multiple leaders, physicians, and stakeholders.Programming & Event Support:
Support leadership programming, meetings, and events, ensuring logistics, materials, and schedules are well coordinated.Travel & Expense Administration:
Prepare travel arrangements, process invoices, and expense reports with accuracy and efficiency.Confidential Information Management:
Handle sensitive and confidential information with discretion, professionalism, and integrity.Documentation & Records Management:
Ensure accuracy and availability of office records, files, reports, and resource data.Process Improvement:
Identify gaps, improve administrative processes, and help "fill in the gaps" where additional support or structure is needed.Problem-Solving & Initiative:
Anticipate potential issues, assess situations, gather information, and proactively recommend solutions.Cross-Team
