POSITION SUMMARY

We are seeking a detail-oriented Office Administrator to ensure the efficiency of our operations through expert document management, financial administration, and project coordination. This role will leverage high-level proficiency in Microsoft Office and construction software to maintain accurate digital files, safety records, and project timelines. This role also serves as the central hub for communication, managing daily office logistics and client inquiries to support the execution of construction projects.

Essential Duties and Responsibilities

Documentation Management

  • Assist in creating, organizing, and maintaining project documentation, including contracts, permits, and work orders.
  • Ensure accurate and timely filing of documents, both electronically and physically

Communication Support

  • Serve as a point of contact for internal and external inquiries, directing them to the appropriate team members.
  • Maintain contact lists and directories for employees, clients and suppliers.

Scheduling and Coordination

  • Help schedule appointments, meetings, and project-related activities.
  • Support the coordination of project timelines and deadlines.

Office Operations

  • Manage office supplies and equipment, ensuring availability for daily operations.
  • Assist in maintaining a clean and organized office environment.
  • Oversee the efficient handling of incoming and outgoing communications (phone calls, emails and mail).
  • Assist with onboarding new employees.
  • Act as a point of contact for clients, addressing inquiries and providing exceptional customer service.

Financial and Administrative Support

  • Assist with basic bookkeeping tasks, such as data entry and invoice processing.
  • Prepare and send out billings for the group.
  • Support the administrative team with various tasks as needed.

Technology and Software

  • High-level proficiency with the Microsoft Office Suite, Pro Core Construction Software, and Blue Beam.
  • Help maintain and update digital files and records.

Health and Safety Compliance

  • Assist in maintaining safety records and documentation, ensuring compliance with safety regulations.
  • Maintain safety supplies at adequate levels to support projects.
Experience and Education
  • High school diploma or equivalent (associate's degree or relevant certification is a plus).
  • Proven experience in an administrative or office support role, preferably in construction.
  • Strong organizational and time management skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a focus on accuracy.
  • Knowledge of basic accounting principles (preferred)
