Role DescriptionThe CME Coordinator supports the planning, coordination, marketing, and implementation of continuing medical education (CME) activities, conferences, and special projects for healthcare professionals. This position works closely with staff, faculty, healthcare organizations, and external partners to support successful educational programs and events.
The ideal candidate is highly organized, technology-savvy, detail-oriented, and comfortable managing multiple projects simultaneously. This individual is a proactive problem-solver who enjoys improving processes, learning new systems, and supporting a collaborative team environment.
Responsibilities Program and Event Coordination- Support the planning and implementation of educational programs, conferences, webinars, and special events.
- Assist with project timelines, planning meetings, logistics, and event preparation.
- Help coordinate communication and materials for speakers, faculty, exhibitors, sponsors, vendors, and attendees.
- Assist with meeting logistics, audiovisual needs, catering, registration, and event materials as needed.
- Provide onsite support during educational activities and conferences.
- Travel locally and occasionally regionally to support educational events.
- Maintain project schedules, timelines, and task lists across multiple programs and initiatives.
- Monitor deadlines and assist with coordinating deliverables among team members and external partners.
- Help identify process improvements and efficiencies to support organizational goals.
- Demonstrate initiative and resourcefulness when addressing challenges and identifying solutions.
- Create and update promotional materials using Canva and other communication platforms.
- Assist with email marketing campaigns, event communications, and social media content.
- Support website updates and online promotion of educational activities and events.
- Ensure marketing and communication materials are accurate, professional, and aligned with organizational branding.
- Manage data within event registration systems, learning management systems, and other online platforms.
- Utilize software such as Microsoft Office, Zoom, Canva, Survey Monkey, Constant Contact, Trello, and other technology tools.
- Prepare reports, surveys, meeting materials, and program documentation.
- Maintain organized electronic files, records, and databases.
- Assist with accreditation-related documentation and compliance requirements.
- Support the collection and organization of program materials, evaluations, and attendance records.
- Assist with educational needs assessments and program evaluation activities.
- Maintain program files in accordance with accreditation standards and organizational policies.
- Associate's or Bachelor's degree in business, communications, healthcare administration, marketing, event management, or a related field preferred.
- Two or more years of experience in project coordination, event planning, administrative operations, marketing support, or a related field preferred.
- Strong organizational and time management skills with the ability to manage multiple projects simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with Microsoft Office and web-based applications.
- Experience with Canva, email marketing platforms, and project management software preferred.
- Ability to quickly learn and adapt to new technology systems.
- Demonstrated problem-solving skills, initiative, and attention to detail.
- Ability to work independently while collaborating effectively with team members and stakeholders.
- Professional, dependable, and service-oriented.
