Duties and Responsibilities

Work Habits: 30%

  • Maintain day-to-day operational efficiency across all DE functions.
  • Ensure college policies and procedures related to admissions, registration, billing, and program completion are followed.
  • Assist in standardizing DE processes, including admissions, enrollment, registration, billing, graduation, and related areas.
  • Stay current on relevant policies, regulations, and funding sources, including updates from Perkins, 2.0 Pathways, SCA, TOPS Tech, and the Workforce Commission.
  • Work with the Director to maintain a comprehensive manual of standardized DE procedures.
  • Manage the input and upkeep of DE attributes in Banner in coordination with Admissions and Student Accounts.
  • Oversee the DE software system (Canusia) to ensure timely enrollment each semester.
  • Maintain and update the DE Hire Orientation Packet.
  • Collaborate with internal offices—including Admissions, Registrar, Financial Aid, Orientation, and Testing—to ensure accurate and efficient DE operations.
  • Support Academic Affairs by ensuring DE faculty are properly credentialed, observed, and provided appropriate instructional resources.
  • Monitor and maintain accurate documentation and records to support compliance and reporting.

Institutional Support: 30%

  • Process dual enrollment applications in accordance with all policies and eligibility requirements.
  • Provide data support for academic affairs systems, including but not limited to retention (Conex Ed, Degree Works,) integrity (maxient), and the college catalog
  • Build and maintain DE courses in SIS and DE software systems.
  • Ensure proper credentialing of dual enrollment instructors.
  • Verify student eligibility, contact hours,, and credit hours in coordination with high schools.
  • Ensure parent/guardian signatures are obtained for DE enrollment packets.
  • Prepare files for Banner uploads and assist with uploads as needed.
  • Verify course rosters with high school instructors, update DE software, and store signed rosters in One Drive.
  • Provide roster updates to the Registrar's Office, including drops and adds.
  • Ensure proper withdrawal procedures are followed and notify appropriate SoLAcc offices.
  • Support Student Accounts with processes for Top Tech funding and DE billing.
  • Update the state-wide payment portal annually and archive prior-year data.
  • Ensure MOUs with school districts are completed, signed, and appropriately filed.
  • Assist with DE student transcript requests.
  • Coordinate processes for home school dual enrollment students.
  • Maintain updated DE contact lists for counselors, instructors, gatekeepers, superintendents, and principals.
  • Track DE sites and program-level distribution of course offerings.
  • Maintain the dual enrollment email account and distribute essential program communications.
  • Coordinate appointments, meetings, and travel for the Director and Assistant Director.
  • Work closely with Enrollment Management to monitor dual enrollment trends.
  • Support updates to DE materials and submit website changes to ensure accuracy and clarity.
