Medical Office Manager / Clinical Supervisor – Lafayette, LA
Job Summary/Objective: The Office Manager supervises office operations and clinical staff, performs limited financial management, and communicates with Managing Physician to ensure maintenance of efficient practice site operations.
Responsibilities- Manage staffing needs, including hiring of clinical and non-clinical office staff, and conduct performance reviews.
- Recommend staff merit increases, promotions, and disciplinary actions to physicians.
- Complete and update personnel files; ensure required forms are completed; maintain personnel policy manual.
- Submit office staff time cards for payroll processing and verify accuracy and completeness of time records.
- Maintain PTO and other time-off schedules; ensure coverage during PTO or illness.
- Ensure office coverage and smooth patient flow; supervise the office to maintain high morale and a customer-oriented team.
- Hold monthly staff meetings; prepare minutes and distribute to staff and physician(s).
- Open and close the office daily according to protocol; oversee and distribute work activities and schedules.
- Create and update office procedures manual; oversee petty cash and daily cash handling and deposits.
- Verify patient demographic and insurance data prior to visits; review daily reports and assist with accurate daily close.
- Maintain inventory of supplies; order supplies as needed and obtain competitive bids annually.
- Oversee mail sorting and distribution; maintain physician schedules and ensure alignment with operations.
- Maintain patient confidentiality and attend continuing education as requested.
- Perform other tasks as required by physicians.
- Demonstrate understanding of financial operations and monitor key financial indicators of the practice.
- Oversee the collections process to ensure reimbursement for services rendered and support staff questions.
- Maintain knowledge of claims submission, follow-up, and patient collections; ensure payment collection at time of service.
- Direct development of Managed Care Manual and ensure staff usage; annually review the fee schedule to maximize reimbursement.
- Enter patient accounts and post payments; prepare monthly internal financial and management reports (accounts receivable, CPT frequency, profit and loss).
- Communicate with CBO and Accounting on pertinent matters; maintain facility and office/clinical equipment; keep physician files up to date (e.g., hospital privileges, licensure, managed care plan credentials, malpractice insurance, CME).
- Maintain patient confidentiality and participate in continuing education as requested.
- Perform other tasks required by physicians.
- Associate’s or Bachelor’s degree obtained through a formal 4-year program.
- At least five years of related experience.
