Front Desk Lead

The Front Desk Lead is responsible for greeting, registering and scheduling patients in a prompt and helpful manner, providing excellent customer service in a fast-paced environment. Because the Lagrange office is a lower volume location at this time, this role will also check in for the Clinic's patients. The role will report to Physical Therapy as the majority of tasks assigned will be Physical Therapy focused.

Our front desk staff in the physical therapy department works in a fast-paced, very busy environment. They are often required to multi-task by answering phones, checking in patients and communicating with therapists, all while providing excellent customer service and being detailed oriented to ensure accuracy of information. We utilize Epic EMR for scheduling and checking in patients. Our staff must be excellent with computers and consistently following multi-step commands in order to appropriately check in, schedule and manage patient's charts.

Duties include:

  • Greets patients in a prompt, friendly and helpful manner
  • Schedules appointments by computer, makes future appointments
  • Maintains the daily schedule, dynamically filling opening due to same day cancellations
  • Collects co-payments and other payments from patients
  • Maintains and updates current patient information, including insurance information, being very detailed oriented.
  • Oversees waiting area, coordinates patient flow, reports problems
  • Answers incoming phone calls to assist patients with their appointments or transfer them appropriately
  • Other tasks assigned by supervisor

  • Promotes positive customer relations for the clinic:
  • Maintains good rapport with patients, visitors, therapists, and vendors
  • Provides excellent customer service to patients and family members at all times
  • Able to multitask in a fast-paced environment
  • Ability to prioritize tasks and focus on task completion
  • Demonstrate an attention to detail and perform tasks accurately based on given processes and protocols

Education, Knowledge, Skills and Experience Required:

Education:

High school diploma or equivalent required

Experience:

1 year administration or customer service experience required, in a medical environment is preferred

Skills:

Excellent verbal, written, and electronic communication skills, very proficient with computers, and an ability to work in a fast-paced environment are required.
