Job Overview
This posting is for Office Assistant positions at the specified location at the authorized level of Office Assistant III. Applications are also accepted for Office Assistant II if needed.
SalaryOffice Assistant II, SR-06: $3,141.00 per month
Office Assistant III, SR-08: $3,266.00 per month
Key Responsibilities- Creates, edits, prints, stores, retrieves and deletes documents using computer word processing and other software.
- Prepares, reviews and processes forms, records, reports, applications and other documents for accuracy and conformance.
- Checks records and forms for completeness and accuracy; evaluates information for conformance with established requirements, and processes documents according to policies.
- Searches paper and electronic files, extracts, compiles and summarizes information, prepares periodic and special reports.
- Composes routine correspondence and letters of acknowledgement.
- Sets up and maintains paper and electronic files and revises filing systems as needed.
- Provides general information and resolves complaints in person or over the telephone regarding organization rules, regulations, policies and procedures.
- Determines needs for and makes routine orders for supplies, materials, etc.
- Makes arrangements for travel, equipment maintenance, telephone service, and similar matters.
- Provides training and guidance, assigns, reviews and evaluates the work of clerical subordinates comparable to Office Assistant II.
Basic
Experience:
6 months required.
Clerical
Experience:
1 month for Assistant II, 1.5 months for Assistant III.
Supervisory Aptitude is required for supervisory roles.
Keyboarding proficiency (40 net words per minute) required for Office Assistant II and higher.
Education and Substitution- High school diploma or equivalent may substitute for basic experience.
- Clerical/office support curriculum may substitute for basic or clerical experience up to 2 years.
