Client Relationship Manager
Location: North Barrington
Position Objective
The Account Manager will provide general office support and a variety of client support and related tasks. Responsibilities include collecting, organizing, and analyzing client data, scheduling client appointments, greeting clients, answering inbound calls, receiving and processing investment checks, scanning and maintaining client information in CRM, and completing applications and forms.
Primary Responsibilities- Client Communication
- Greet clients and guests in a professional, friendly, and hospitable manner
- Answer telephones and direct callers to the appropriate member of the firm
- Respond to client emails in a professional manner
- Attend client meetings in a technical, supporting, and learning role
- Develop client relationships through ongoing and regular contact and communications
- Client Preparation
- Support advisors and clients by gathering data, developing recommendations, implementing plans, and managing ongoing portfolio management within a financial planning context
- Assist in completing application, enrollment, and other required forms
- Provide client service, including planning updates, portfolio changes and reviews, data gathering, portfolio returns, and opportunity identification
- Prepare documentation and agendas one week in advance of appointments
- Manage follow‑up process, including action items, next contact date, and updates to CRM
- Prepare and mail forms and applications to clients as needed
- Forward investment checks and enrollment/application forms to the appropriate broker
- Administrative Tasks
- Daily downloads (Pershing, DST Fan Mail)
- Review alerts from custodians
- Assist in buying and selling investments for clients at the advisor’s discretion
- Maintain electronic filing system, clearing folders at close of business each day
- Administer and coordinate client billing process
- Consistently review accounts for compliance requirements
- Schedule client meetings with the appropriate advisor
- Coordinate pick‑up and delivery of express mail services (UPS, Fed Ex)
- Scan, file, fax, and collate documents
- Handle postage on outgoing mail and send via appropriate boxes
- Other
- Open and close the office (locking doors, turning off lights)
- Maintain kitchen area, stock refreshments and refrigerator
- Attend team meetings, Investment Committee Meetings, and other meetings as required
- Participate in the Financial Planning and Investment Committee meetings and contribute to strategy development
- Complete special projects as needed
- Self‑confidence, personal integrity, and an understanding of fiduciary responsibility
- Team player with strong leadership skills and the ability to multitask and manage time effectively
- Analytical thinking from the client's perspective and a willingness to take responsibility for task completion
- At least 2 years of relevant, service‑oriented experience and/or training, or an equivalent combination of education and experience
- Ability to work independently on assigned tasks while accepting direction on specific assignments
- Excellent verbal and written communication skills, including exceptional interpersonal communication abilities
- Sound organizational skills and strong computer skills (MS Office Suite)
Pay and benefits are competitive based on industry standards. Salary is based on experience and industry benchmarks. Eligibility for Individual Performance and Firm‑wide Incentive Bonuses. The position is located in Illinois, with a base salary range of $55,000 to $75,000. Individual compensation varies with job‑related factors such as business needs, experience, level of responsibility, and qualifications.
