Every order we ship is the last thing a customer sees from us – and you'll help keep it complete and accurate. As our Shipping Department Coordinator, you'll run the shipping and receiving operation from the office: scheduling trucks, coordinating closely with carriers like UPS and Fed Ex, and keeping the whole operation organized and accountable.
About the RoleThe Shipping Department Coordinator supervises all shipping and receiving operations at a Confluent Holdings operating company. You'll schedule inbound and outbound trucks, select the most economical shipping methods that still hit the delivery date, manage carrier relationships – particularly with UPS and Fed Ex – resolve lost or damaged shipments, and keep shipping records current. This is primarily an office-based coordination role: the large majority of your time is spent planning, scheduling, and communicating rather than working the dock directly.
You'll partner closely with Customer Service, production, and purchasing, and report to the General Manager or Plant Manager.
- Supervise all shipping and receiving operations.
- Schedule inbound and outbound trucks and coordinate pickup/delivery windows with carriers.
- Serve as the primary point of contact for UPS, Fed Ex, and other carrier partners – managing rates, service levels, and account issues.
- Ensure orders ship promptly and accurately, and keep shipping records and documentation clean.
- Choose the best shipment method for economy and speed, and hold carriers accountable on pickups, service, and rates.
- Trace lost or delayed shipments, audit shipments, and initiate claims for loss or damage.
- Manage daily shipping operations – process paperwork for daily shipments (e.g., packing slips, bills of lading, box/skid labels, commercial invoices), process payments, and provide freight quotes.
- High school diploma or equivalent required;
Associate's degree or coursework in logistics, supply chain, or business is a plus. - Experience in shipping and receiving operations.
- Extensive knowledge of shipping procedures, carriers, and requirements – carrier account management experience (UPS/Fed Ex) strongly preferred.
- Proficiency with shipping, ERP, and inventory systems.
- Strong planning, organization, communication, and leadership skills, with sharp attention to detail and a knack for improving how work gets done.
- Ability to pass a pre-employment physical examination and drug test.
