Accounts Payable Specialist

Position Overview

Vaco is seeking a detail-oriented Accounts Payable Specialist to support day-to-day AP operations for a client. This role plays a key part in ensuring accurate, timely processing of invoices and payments while partnering closely with internal teams and external vendors.

• Process day-to-day Accounts Payable transactions
• Receive, review, and verify invoices and requisitions for goods and services
• Match, batch, and code invoices and expense reports for entry into the accounting system
• Review payable accounts to ensure accuracy, proper documentation, and appropriate authorization
• Process payments during weekly check runs and prepare manual checks as needed
• Maintain organized backup documentation for audit, research, and reference purposes
• Review invoices and statements for accuracy and completeness; resolve discrepancies with internal departments
• Reconcile vendor statements and verify amounts owed
• Reconcile freight invoices to statements to ensure accuracy
• Review figures, postings, and documents for accuracy, proper coding, and mathematical correctness
• Identify, correct, and document errors for escalation to the A/P Manager
• Communicate with vendors regarding payment status; request and process missing invoices
• Partner with internal and external contacts to answer payment-related questions and clarify invoice terms
• Assist with vendor master data cleanup, including collecting W-9s and verifying remit-to addresses

• 2+ years of Accounts Payable and/or Accounts Receivable experience
• Strong working knowledge of Microsoft Office Suite (Word, Excel, Outlook)
• Experience with Oracle is a plus

Determining compensation for this role (and others) at Vaco/Highspring depends upon a wide array of factors including but not limited to the individual's skill sets, experience and training, licensure and certifications, office location and other geographic considerations, as well as other business and organizational needs. The individual may also be eligible for discretionary bonuses, and can participate in medical, dental, and vision benefits as well as the company's 401(k) retirement plan.
