Schedule:

19 hours but on occasion up to 25 hours per week; schedule varies by testing needs. May include evening and weekend hours during peak testing periods.

Position Summary

The part-time Proctor Specialist is responsible for administering and monitoring exams in the Assessment Center while upholding the highest standards of test security and customer service. This position supports students, faculty, staff, and community members by facilitating placement exams, make-up exams, vendor certification/licensure exams, and accommodated testing. The Part-Time Proctor Specialist ensures compliance with vendor guidelines, institutional policies, and state/federal regulations to provide a secure and professional testing environment.

Essential Duties and Responsibilities Test Administration & Security (55%)
  • Administer and monitor high-stakes and institutional exams (TSIA2, GED, ACT, CLEP, HESI, TCOLE, NHA, ASE, Pearson VUE, and other contracted exams).
  • Verify identification, check-in examinees, and provide testing instructions.
  • Enforce test security protocols and safeguard all testing materials.
  • Document and report test irregularities and incidents to the Senior Coordinator.
Student & Faculty Support (20%)
  • Provide courteous and professional assistance to students, faculty, and community examinees.
  • Assist with testing intake, scheduling, and check-in processes.
  • Support accommodated testing needs in partnership with Disability Services.
Administrative & Recordkeeping (15%)
  • Maintain accurate records of exams administered.
  • Assist with logs, reports, and documentation for vendor and institutional compliance.
  • Support the Senior Coordinator in preparing testing data as needed.
Collaboration & Teamwork (10%)
  • Work collaboratively with other proctors to ensure efficient daily testing operations.
  • Contribute to a positive and supportive environment for staff and examinees.
  • Participate in staff meetings and training sessions as assigned.

Qualifications Education

High school diploma or equivalent required; some college coursework preferred.

Experience

At least one year of experience in education, testing, or customer service. Prior experience in test administration or higher education preferred.

Skills & Competencies
  • Strong attention to detail and ability to follow strict procedures.
  • Excellent communication and interpersonal skills.
  • Ability to maintain confidentiality and test security.
  • Basic proficiency in Microsoft Office Suite; familiarity with testing platforms a plus.
  • Dependability and flexibility in adapting to varied schedules.
Working Conditions

Testing and office environment within a community college setting. Regular interaction with students, faculty, staff, and community members. Evening and weekend hours may be required during peak testing periods.

Physical Requirements

Ability to sit, stand, and walk for extended periods while monitoring exams. Frequent movement between testing rooms. Occasional lifting of materials up to 20 pounds.

None.

Equipment Used

Computers, testing software platforms, scanners, printers, calculators, and standard office equipment.

Additional Requirements

Must complete and maintain vendor-required proctor certifications and training. Must demonstrate professionalism, reliability, and a commitment to exam integrity.

Ability to work effectively with a diverse population in a secure testing environment.
