St. Charles Community College is seeking an Academic Operations Specialist to support program review, assessment processes,articulation agreements, and experiential learning initiatives. This position plays a critical role in ensuring the effective implementation of academic quality assurance processes, supportingfaculty and leadership with data-informed decision-making, and maintaining compliance with accreditation and regulatory requirements.

REQUIRED KNOWLEDGE,

  • High attention to detail (audit/compliance readiness)
ESSENTIAL DUTIES AND RESPONSIBILITIES Program Review & Assessment
  • Coordinate institutional program review cycles, timelines, and documentation in collaboration with IRE
  • Monitor submission of annual and comprehensive programreviews
  • Compile and synthesize program-level data (enrollment, outcomes,completion) in collaboration with IRE
  • Maintain assessment documentation repositories(SharePoint/evidence systems)
Articulations & Academic Partnerships
  • Coordinate the lifecycle of articulation agreements (development,approvals, renewals)
  • Maintain centralized tracking system for all agreements
  • Support partnership documentation and compliance requirements
  • Serve as liaison for internal stakeholders supportingpartnerships
Accreditation Support
  • Assist with collection, organization, and validation of evidence for HLC and programmatic accreditation
  • Maintain documentation aligned to Assurance Argumentstructures
  • Track compliance timelines and reporting requirements
Internships & Apprenticeships
  • Assist in development and coordination of academic internshipprocesses
  • Track internship placements and related academicdocumentation
  • Support alignment of internships with program learning outcomes
  • Coordinate with academic divisions and workforce partners asneeded
Curriculum & Catalog Support
  • Assist with documentation tracking for curriculum proposals
  • Support catalog production timelines, proofreading, and updates
  • Ensure accuracy and consistency of program and courseinformation
Data & Reporting
  • Support reporting for accreditation, state, and institutionalneeds
  • Ensure data integrity across systems in collaboration withIRE
MINIMUM KNOWLEDGE AND EXPERIENCE
  • Bachelor's degree in Higher Education, Education, Business, orrelated field
  • 3+ years of experience in academic affairs, institutionalresearch, or related area
  • Experience with data tracking, reporting, or assessmentprocesses
PREFERRED QUALIFICATIONS
  • Experience with program review or accreditation processes (HLCpreferred)
  • Familiarity with student information systems and software solutions (e.g., Colleague, Microsoft, Assessment Software)
  • Experience supporting partnerships, workforce programs, orinternships
