POSITION SUMMARY

The role of Registrar is to register and withdraw students, maintain computerized student records and files, provide student information to authorized parties in compliance with established policies, and provide general clerical support, information, and/or direction as assigned.

QUALIFICATIONS
  • High school diploma required; associate's degree preferred.
  • Excellent computer abilities with Google Applications and other business‑related software.
  • Experience with Excel and student database systems (e.g., Infinite Campus, SIS) preferred.
ESSENTIAL FUNCTIONS
  • Maintain a high level of ethical behavior and confidentiality when handling student and staff information.
  • Respond to inquiries from staff, other educational institutions, the public, parents, and students regarding enrollment and records.
  • Meet with students and parents to determine enrollment eligibility, verify address, and process registration data.
  • Provide information on administrative procedures, services (e.g., social security, vaccination/physical forms) to assist and orient incoming students and parents.
  • Compile student records (birth certificates, transfers, immunizations, class credits) to meet state, federal, and district requirements.
  • Interpret and evaluate incoming student transcripts to transfer grades and semester credit hours into the district student information system.
  • Review guidelines when evaluating transcripts to ensure conformance with district grading, curriculum, and course credit standards.
  • Verify student data (grades, transcripts, etc.) for accuracy of student records.
  • Maintain manual and electronic documents, files, and records in accordance with administrative guidelines and legal requirements.
  • Manage the student information system to maintain accuracy and efficiency of student data.
  • Perform all enrollment and withdrawal activities and maintain permanent student records for all students.
  • Prepare standardized documents and reports (report cards, letter forms, memos, calendars, bulletins, periodic reports).
  • Process documents and materials (transcripts, job verifications) to provide required information in response to requests from students, other districts, colleges/universities, or employment agencies.
  • Research discrepancies in student records to verify graduation status and ensure information accuracy.
  • Compile ad‑hoc reports and data collections (year‑end reports, progress reports) for accurate information dissemination.
  • Coordinate transportation for new students and address changes as requested.
  • Serve as liaison to the Guidance Department for new and withdrawing students to support accurate data management.
  • Support the Assistant Principal of Student Services in ensuring accuracy of student records and residency.
OTHER FUNCTIONS
  • Attend departmental meetings, in‑service sessions, workshops, and seminars to collect and convey required information.
  • Participate in training to update skills as district software changes.
  • Perform other related duties as assigned to ensure effective district functioning.
  • Provide backup support for other Professional Support Personnel to provide assistance and coverage as needed.
