Job Overview

This position is an advanced clerical accounting role that oversees and maintains accounting and statistical records with minimal supervision. The incumbent develops and implements standard operating procedures, ensures timely and accurate posting to accounting systems, and supports payroll and benefits administration.

• Prepare requisitions and checks for payment of invoices; maintain vendor files.
• Verify daily accounting activity posted to accounts payable, payroll, and general ledger databases; make correcting entries as needed.
• Prepare reports and maintain accounting schedules and other statistical schedules.
• Enter invoices, transactions, and other documents into Oracle e‑Business Suite; verify accuracy and correct data.
• Identify, research, and reconcile problems with minimal supervision.
• Review and enter manual journal and budget entries from user departments and the City Manager for approval.
• Maintain a file of unapproved invoices and follow up with departments and vendors promptly, in compliance with the Florida Prompt Payment Act.
• Review and audit travel advance and reimbursement documents.
• Reconcile vendor statements of account with Accounts Payable records.
• Enter and complete accounting documents in Ungerboeck Business Management System (USI); verify accuracy and correct as necessary.
• Maintain required human resources records within online and paper filing systems; conduct timekeeping for several divisions.
• Participate in and/or facilitate training to support departmental or City initiatives and requirements.
• Work overtime or alternate hours as necessary for efficient operation of the department.
• Maintain payroll and benefits deduction system, including maintenance of deduction database and distribution to vendors.
• Issue invoices, collect payments, and reconcile accounts receivable and occupational license billing systems.
• Input computer system control parameters and maintenance transactions into the accounting system.
• Work with the Internet banking system for payment document maintenance.
• Maintain and update computer system parameters within the center’s enterprise systems (USI, Pro Venue, Time Clock Plus).
• Collect and track third‑party collections for delinquent accounts.
• Complete online Florida State sales tax reporting.
• Position is designated as Mission Critical.

• Perform non‑accounting duties such as maintaining departmental personnel records, payroll records, filing, and retrieving documents.
• Assist professional accounting personnel with financial statement and budget preparation.
• Work with third‑party vendors to reconcile problems with unpaid invoices.

• High school diploma or GED.
• Five years of experience in a finance‑related field.
• Equivalent combination of education, training, and experience that provides necessary knowledge, skills, and abilities.

• Must possess and maintain a valid telephone number.
• Must possess and maintain a valid driver’s license.
• May be required to pass an elevated background check provided by the City of Lakeland Police Department upon hire.
