We are currently seeking a strong Administrative Support Associate for our office in Lakeland, FL. This person will support the entire office management team, handling a variety of tasks that may shift with workload and needs. The ideal candidate will be upbeat, friendly, calm under pressure and have a pleasant demeanor – a positive, interactive environment is key.
Requirements- Bi-lingual Fluency in English and Spanish (Due to the diversity of our team, this is mandatory)
- Experience:
5+ years in a construction office (preferred but not required) - The ability to pass a drug test and background check.
- Strong organizational skills and detail‑oriented.
- Ability to handle multiple tasks simultaneously and adapt to changing priorities.
- Strong technology skills; proficiency in Microsoft Outlook, Word, Excel, and ability to learn new applications.
- Maturity and discretion in handling sensitive company information.
- Exceptional problem‑solving and critical‑thinking abilities.
- Strong communication and customer‑service skills.
- Stable work history with verifiable references.
- Demonstrated commitment to positive employee experience and workplace culture.

- Ability to handle high‑pressure situations with professionalism and composure.
- Valid driver’s license and reliable transportation.
- Numbers focused with Data Entry.
- Proficiency in Excel is a plus.
- Manage lobby and phone system to create a welcoming office atmosphere, including incoming calls, making coffee and refreshing snacks.
- Assist with various administrative tasks to support team members.
- Order and distribute Certificates of Insurance as needed.
- Maintain clear, respectful communication within the team and with clients.
- Organize and prioritize tasks effectively.
- Create innovative solutions and provide proactive support.
- Manage internal associate thank‑you cards, notes, balloons for birthdays and anniversaries, and facilitate team lunches every Friday.
- Organize company events and initiatives to foster a positive work environment.
- Oversee office supplies, uniform inventories, and ordering.
- Pickup and distribute company mail.
- Arrange travel for road crews – hotels, short‑term rentals, car rentals, airfare – and be available to handle travel arrangements outside of normal hours.
- Learn and utilize tools like Jotform, EZ Texting, calendar invites, and booking meeting rooms to streamline operations.
