Job Summary

The Part‑Time Front Desk Coordinator serves as the first point of contact for the office and plays a key role in keeping daily operations running smoothly. This role supports administrative, office operations, and cross‑functional needs while ensuring a welcoming and organized workplace environment.

    Chief of Staff to the Co‑President
Job Responsibilities
Front Desk & Office Operations
  • Greet visitors while following welcome procedures
  • Provide premier customer service to visitors and team members
  • Funnel resource requests for teams as needed
  • Manage incoming and outgoing mail and packages
  • Prepare office for meetings and trainings – set‑up, clean‑up, catering as needed
  • Coordinate office supply orders and keep supplies stocked
  • Ensure security of building entrance and deliverables
  • Vendor management and scheduling for office maintenance
  • Monitor and maintain office common areas, including kitchen, snack stations, and refrigerator
  • Maintain office readiness, including signage for office closings
  • Prepare swag bags, nameplates, and other employee materials
  • Support huddle/meeting preparation and in‑office setup, if required (bi‑weekly)
Project & Team Support
  • Assist departments with special projects (e.g., administrative file organization, document processing, company sites/document management, credit QA process, human resources, marketing campaigns and event preparation)
Preferred Qualifications
  • Previous administrative, front desk, or office coordination experience preferred
  • Excellent verbal and written communication skills
  • Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Positive attitude and upbeat demeanor, ability to remain calm under pressure
  • Excellent organizational skills, attention to detail, accuracy with data entry
  • Excellent time‑management skills, proven ability to meet deadlines and prioritize tasks
  • Strong customer‑service skills, ability to interact with employees at all levels
  • Ability to act with integrity, professionalism, confidentiality, and handle sensitive information
Travel and Physical Requirements
  • Prolonged periods of sitting at a desk and working on a computer
  • Must be able to lift up to 15 pounds at times
