Job Summary
The Part‑Time Front Desk Coordinator serves as the first point of contact for the office and plays a key role in keeping daily operations running smoothly. This role supports administrative, office operations, and cross‑functional needs while ensuring a welcoming and organized workplace environment.

Part‑time, Non‑Exempt, On‑site - Reports to :
Chief of Staff to the Co‑President
Front Desk & Office Operations
- Greet visitors while following welcome procedures
- Provide premier customer service to visitors and team members
- Funnel resource requests for teams as needed
- Manage incoming and outgoing mail and packages
- Prepare office for meetings and trainings – set‑up, clean‑up, catering as needed
- Coordinate office supply orders and keep supplies stocked
- Ensure security of building entrance and deliverables
- Vendor management and scheduling for office maintenance
- Monitor and maintain office common areas, including kitchen, snack stations, and refrigerator
- Maintain office readiness, including signage for office closings
- Prepare swag bags, nameplates, and other employee materials
- Support huddle/meeting preparation and in‑office setup, if required (bi‑weekly)
- Assist departments with special projects (e.g., administrative file organization, document processing, company sites/document management, credit QA process, human resources, marketing campaigns and event preparation)
- Previous administrative, front desk, or office coordination experience preferred
- Excellent verbal and written communication skills
- Strong proficiency in Microsoft Office Suite (Word, Excel, Outlook)
- Positive attitude and upbeat demeanor, ability to remain calm under pressure
- Excellent organizational skills, attention to detail, accuracy with data entry
- Excellent time‑management skills, proven ability to meet deadlines and prioritize tasks
- Strong customer‑service skills, ability to interact with employees at all levels
- Ability to act with integrity, professionalism, confidentiality, and handle sensitive information
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 15 pounds at times
