Entry Level Front Desk Administrative Assistant
The Front Desk Administrative Assistant will be responsible for efficiently managing the front desk operations, including routing incoming calls, handling mail and packages, ordering office supplies, and preparing client proposal packets. This role requires greeting visitors and assisting them with their inquiries, as well as managing outgoing and incoming mail and packages through Fed Ex and UPS. The assistant will also handle the scheduling and calendar management for meeting rooms.
Responsibilities:
- Greet visitors and assist them with their inquiries.
- Route incoming phone calls to appropriate employees (25-35 per day).
- Manage all incoming and outgoing mail and Fed Ex/UPS packages.
- Order office supplies weekly and maintain inventory.
- Perform front-end scanning of paper mail, download documents from insurance carrier websites, and apply file naming conventions.
- Assist with mail routing processes and cover calls for multiple locations when needed.
Essential
Skills:
- Proficient in MS Outlook, Word, Excel, and Adobe.
- Excellent written and verbal communication skills.
- Ability to multitask and be detail-oriented.
- 1 year of administrative, receptionist, or customer service experience.
- Experience with computers, Microsoft Word, and Excel at an entry level.
Additional Skills &
Qualifications:
- Bachelor's degree or associate's degree preferred.
- Open to face-to-face customer service if holding a degree.
- Looking for someone eager to grow in their career.
Work Environment:
The position is based in a small insurance office with a total of five people. The office operates from 8:30 AM to 5:00 PM, with an hour lunch break. The dress code is business professional, transitioning to business casual during summer months.

Pay and Benefits:
The pay range for this position is $18.00 - $18.00/hr eligibility requirements apply to some benefits and may depend on your job classification and length of employment.
