We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Lakeville, Minnesota. In this role, you will provide front-office support, assist with scheduling appointments, and ensure accurate preparation of tax-related documents. This includes supporting tax administration tasks such as organizing client files, entering financial data, tracking deadlines, and assisting with digital recordkeeping for tax filings.
The position requires excellent organizational skills, attention to detail, and proficiency in office software to deliver top-notch administrative support and help maintain compliance with tax regulations.
Responsibilities:
+ Assemble, staple, and prepare tax returns for mailing, ensuring all documents are complete and securely packaged.
+ Perform accurate data entry of client and tax return information in a fast-paced environment, maintaining a high level of attention to detail.
+ Monitor and track client status throughout the tax process, utilizing Excel and internal systems to keep records up to date.
+ Support general office operations, including faxing, filing, photocopying, receiving customer payments, and maintaining organized files.
+ Update and generate Excel-based reports to support tax and administrative operations.
+ Ensure timely and professional communication with clients, both in-person and over the phone or email.
+ Assist in maintaining confidentiality and compliance with all data security policies regarding sensitive tax documentation.
Requirements
- Proven experience in administrative or receptionist roles, preferably in a tax or consulting environment.
- Strong attention to detail, especially when reviewing and organizing documents.
- Proficiency in scheduling tools and calendar management.
- Familiarity with Microsoft Excel, including sorting and data organization functions.
- Basic knowledge of customer service practices and office equipment.
- Ability to handle client interactions professionally and maintain confidentiality.
- Excellent communication skills, both written and verbal, to interact effectively with clients and colleagues.
