As the Administrative Assistant
, you will support the shopping center management team in achieving ownership objectives by providing high-quality administrative support, coordinating daily office operations, and ensuring efficient cross-departmental communication. You will report directly to the General Manager and play a key role in retail property management, tenant coordination, office administration, and operational support within a fast-paced commercial real estate environment.

To be successful, you should have- Associate’s degree required;
Bachelor’s degree preferred in Business Administration or related field. - Minimum 3+ years of administrative assistant or office coordinator experience, preferably in retail property management, commercial real estate, or shopping center operations.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint); experience with accounts payable, invoicing, and property management systems such as MRI preferred.
- Solid written and verbal communication skills with the ability to support tenant relations, customer service, and executive-level correspondence in a fast-paced environment.
- Highly organized, detail-oriented, and adaptable with solid time management, multitasking, and problem-solving skills to support daily operations and office administration.
- Greet, welcome, and direct visitors appropriately.
- Answer and direct incoming calls and inquiries.
- Maintain employee, department, and tenant directories.
- Operate the telecommunication system by following the manufacturer’s instructions for house phone and console operation.
- Maintain comprehensive knowledge of shopping center stores, business hours, and other relevant property information.
- Assist in maintaining schedules of office team personnel and common area activities.
- Receive and log mail, deliveries, documents, and checks, and distribute them to the appropriate parties.
- Maintain a safe and clean reception area by complying with procedures, rules, and regulations.
- Support continuity among work teams by documenting and communicating actions, irregularities, and continuing needs.
- Support various departments with office-related tasks, including but not limited to data entry, website updates, sales collection, retailer communications, and operational notifications.
