** HIRING RANGE: $26.75 - $29.72/hour
** This position serves as the primary receptionist for the City Clerk’s Office, providing front office support and high-quality customer service to both in-person visitors and callers. It also functions as the lead contract administrator for the office, responsible for receiving, recording and monitoring approximately 750 contracts annually. In addition, this role also provides secondary support for processing of Public Record Requests (PRRs) and assists with the administration and management of records created by the City Clerk’s Office.
** Essential Duties and Responsibilities
*** Incumbent is accountable for all duties of this job, and other projects and responsibilities may be added at the City’s discretion. Employees must be able to perform the essential duties of this job with or without reasonable accommodation.
** Serves as the primary receptionist for the City Clerk’s Office providing excellent front office customer service to citizens and city employees.
* Assists with processing vouchers and deposits.
* Serves as the lead contract administrator in the City Clerk’s Office which involves recording and monitoring approximately 750 contracts annually which includes routing for signatures, signature verification, scanning into records software, data entry, sending out monthly contract review reports, working with other departments to ensure contract completion, assisting in the record retention of contracts, and sending yearly reports to the State of Colorado regarding contract statuses.
* Assists with the administration and management of records created by the City Clerk’s Office.
* Assists a senior staff member with processing Public Record Requests (PRRs) who manages over 50 PRRs monthly and approximately 750-1,000 annually. Responsibilities include routing and tracking requests, ensuring compliance with state-mandated deadlines, coordinating with other departments to complete both routine and complex requests, compiling monthly and assisting with annual reports, and supporting the proper retention and management of PRR-related records.
* Assists the Boards and Commissions Coordinator with the administration and record keeping duties of City Boards and Commissions, including the City Council Screening Committee and the 30-member Lakewood Advisory Commission, which could require occasional attendance of evening meetings.
* Assists with updating and monitoring the City websites under the purview of the City Clerk’s Office.
* Assists the City Clerk and Deputy City Clerk with City Council calendars, agendas, meeting materials, and meeting minutes. Provides other administrative support for all office functions including elections, licensing, permits, etc.
* Performs other duties as assigned.
