Position Summary
The OB/GYN Registered Nurse Coordinator will oversee the day‑to‑day operations of the OB/GYN department within the Federally Qualified Health Center (FQHC). This role blends clinical expertise with strong administrative leadership and problem‑solving skills. The RN will serve as the point of contact for staff and providers, ensuring efficient patient flow, troubleshooting issues, and maintaining compliance with FQHC and regulatory requirements.
ResponsibilitiesOperational Oversight & Problem‑Solving
- Lead daily operations of the OB/GYN department, proactively resolving scheduling conflicts, workflow gaps, and patient flow challenges.
- Identify barriers impacting patient care or provider productivity and implement immediate and long‑term solutions.
- Track department performance metrics, analyze trends, and recommend improvements.
- Ensure adherence to policies, protocols, and departmental workflows, updating processes when needed.
Staff Leadership & Support
- Supervise and support medical assistants, LPNs, and other clinical support staff assigned to the OB/GYN department.
- Coordinate staff schedules, breaks, and coverage to maintain productivity and compliance.
- Facilitate training, onboarding, and competency reviews for new and existing staff.
- Provide real‑time coaching, feedback, and performance support to staff; elevate issues appropriately.
- Review and approve staff biweekly timecards and monthly performance scorecards.
Administrative & Compliance
- Ensure compliance with Title X, HRSA, and state regulations.
- Assist with preparation for audits, HRSA site visits, and NJDOH inspections.
- Maintain and update departmental standing orders, protocols, and competency records.
- Manage referral workflows, ensuring timely coordination with MFM specialists, hospital partners, and other external providers.
Quality Improvement & Risk Management
- Lead small‑scale QI projects to improve efficiency, patient experience, or clinical outcomes.
- Monitor and report incidents, near misses, and patient complaints, ensuring follow‑up and resolution.
- Facilitate OB/GYN team meetings, track action items, and ensure follow‑through on identified issues.
- Participate in CQI and Clinical Best Practice rounds for quality improvement.
Daily Responsibilities
- Morning Huddle:
Review the day’s provider schedules, patient volume, and staffing assignments; communicate updates to the team. - Schedule Review:
Confirm that templates are balanced, patients are appropriately scheduled, and urgent add‑ons are managed. - Staff Oversight:
Ensure MAs and LPNs are in place, rooms are stocked, and patient intake flow is running smoothly. - Issue Resolution:
Address provider concerns (e.g., delayed labs, missing referrals, equipment malfunctions) and troubleshoot with support departments. - Patient Flow Management:
Monitor wait times and provider efficiency throughout the day, reallocating staff or adjusting schedules when needed. - Midday Check‑In:
Conduct a quick staff check‑in to address concerns and maintain morale. - End‑of‑Day Wrap‑Up:
Review unresolved issues, update leadership on challenges, and prepare notes/action items for the next day. - Clinical Inbox management:
Oversee assignments and support the timely completion of all OBGYN and MFM buckets. - Assist the Family Planning Coordinator in managing the high‑risk OB patient list and ensuring all OB patients are assigned a risk level by providers.
- Facilitate the monthly High‑Risk OB meeting, driving discussion, interdisciplinary collaboration, and next‑step planning.
- Work cooperatively with all providers and staff to carry out the goals and objectives of OHI, meeting productivity according to established policies and procedures.
- Bachelor of Science (RN) preferred or other related bachelor’s degree is required.
- Two to three years of nursing experience in OB/GYN or Women’s Health with a medical center or community health care setting is required.
- Active State of New Jersey RN license is required.
- Basic Life Support for providers through the American Heart Association is required.
- Prior supervisory or charge nurse experience with proven operational leadership.
- Strong problem‑solving, organizational, and communication skills.
- Familiarity with FQHC operations, Title X, and EMR systems (Athena preferred).
