This position supports the college mission of educating tomorrow’s workforce by providing childcare support for CPTC student parents and community members.

The Office Assistant will provide welcoming front desk customer service, triage needs, respond to general inquiries, communicate with families, maintain files and records, answer phones, manage the Pro Care attendance system, respond to voicemails and emails, and assist with related childcare projects. Flexibility is important as traffic flow varies throughout the day and supporting teacher break coverage may vary week to week.

Responsibility

Areas Student and Family Support / Customer Service
  • Welcome visitors to Hayes Childcare Center.
  • Triage student/family/visitor needs and appropriately refer them to next steps/services.
  • Assist students with scheduling appointments with Hayes staff.
  • Answer multi‑line phones, return calls and voicemails, and place calls as needed to students, faculty, staff, families, and community partners.
  • Monitor Hayes general emails and respond to inquiries or refer to appropriate staff as needed.
  • Assist visitors/families with monitoring/tracking requirements, grant expectations, and general information about application processes.
  • Provide general information regarding resources and services to families.
  • Pro Care management to track attendance.
General Clerical / Office Duties and Administrative Support
  • Prepare intake application materials and handouts/communication for families as needed.
  • Type correspondence, photocopy, scan, and email as required.
  • Create and maintain shared files and other electronic spreadsheets as needed.
  • Maintain outreach materials and resource information.
  • Assist the Hayes Director and FSS with related projects as assigned.
  • Requisition s and P‑card purchases.
File Management
  • Review intake/application packets for completeness; maintain student files both physical and electronic, per contract and college standards.
  • Maintain family/child files to ensure they are neat, complete, and orderly in accordance with the filing system and program standards.
  • Adhere to FERPA regulations with regard to student personal information and confidentiality requirements.
  • Assist Hayes Director and FSS with preparation of student files and records for archive in accordance with college standards.
  • Manage sign‑in sheets.
Contribute to College Strategic Plan, Enrollment Plan, and Department Goals/Outcomes
  • Participate in professional development opportunities and staff meetings.
  • Participate in equity, diversity and inclusion efforts to help eliminate equity gaps.
  • Assist with data reporting.
  • Other related duties as assigned to support the broader Student Success department.
  • Shared Governance meetings to support CPTC.
Other Duties as Assigned to Support Hayes Licensing Requirements
  • Maintenance requests.
  • Classroom coverage.
  • Fire drill support.
Qualifications
  • High School Diploma or equivalent.
  • Associate Degree (preferred).
  • Strong interpersonal and communication skills and proven quality customer service.
  • Six months of clerical/administrative assistant work experience in a professional office environment or educational setting.
  • Proficient with technology, including Microsoft Office Suite and Microsoft Teams.
  • Excellent oral and written communication skills.
  • Ability to multitask in a busy office environment while providing professional and courteous customer service.
  • Show initiative, use good judgement and be a self‑starter.
  • Excellent organizational and planning skills with attention to detail and follow through.
  • Resourceful problem solver.
  • Experience with interactive social media processes and internet/electronic marketing.
  • Show ability to contribute to the college’s commitment to diversity by fostering a climate of multicultural understanding and appreciation.
