II. SUMMARY OF ASSIGNMENT
Under general supervision of the assigned building administrator, provides general secretarial services for the guidance office staff and other offices as assigned.
III. ESSENTIAL FUNCTIONS
- Serves as office receptionist. Greets students, parents and visitors and provides assistance or refers as appropriate. Answers and responds to telephone inquiries or requests for assistance.
- Prepares and forward records of withdrawn students. Evaluates student records, copies and distributes and/or mails transcripts.
- Maintains, reviews, edits and files student records. Purges student files as needed.
- Compiles Federal Survey information and prepares student counts for district and federal funding purposes.
- Assists with distribution of student handbooks and materials, including coordination of locker usage and maintenance of student locker records.
- Maintains testing materials; processes test scores and assists with administration of SAT tests for students as assigned.
- Assists counselors with student registration and scheduling. Screens and analyzes all student health immunization records.
- Processes student progress reports, homework requests, transcript requests, letters of recommendation, college and scholarship applications, and inquiries from outside agencies and employers.
- Prepares correspondence and documents using word processing software. Maintain and operates standard office equipment.
- Assists with the development and maintenance of various student, building and transportation schedules.
- May assists with graduation preparation and planning.
- Trains and supervises student office assistants.
- Provides limited assistance in the health office, in the absence of the school nurse.
- Performs other duties as assigned.

IV. MINIMUM QUALIFICATIONS
A. Education and Experience
- 1. High school diploma or equivalent and completion of secretarial training.
- 2. Two (2) years of successful secretarial experience that included data entry and use of word-processing software.
B. Required Knowledge,
Skills and Abilities
- 1. Knowledge of general office management techniques.
- 2. Knowledge of correct grammar, spelling and English usage.
- 3. Ability to keyboard at 60 wpm and use word-processing software in a windows environment.
- 4. Ability to work with and communicate effectively with students, parents, building staff, coworkers, volunteers and the public in a diverse environment.
- 5. Ability to maintain confidentiality of student records.
- 6. Ability to prioritize own work, to accomplish a variety of tasks, and work independently.
- 7. Ability to lift 20 pounds.
C. Certification and Licenses
- 1. Fingerprinting and background check.**
- 2. First aid and CPR Card within six (6) months of hire.
V. DESIRABLE QUALIFICATIONS
- 1. School District secretarial experience.
VI. WORKING CONDITIONS
Work is accomplished in a regular school office environment. Ability to tolerate frequent interruptions, normal office dust and fumes, and occasional loud noises; work in tight spaces; use arms, hands and fingers for word processing and data entry; calmly deal with difficult or angry parents and students; bend, stretch, twist, walk or reach requiring ordinary physical effort, listen more closely than in normal daily life are all required.
