Position: SITE COORDINATOR

Job Title: Site Coordinator

Department: Programs

Reports to: Program Manager

Status: Non-Exempt (PT & FT)

Job Summary:

The Site Coordinator manages a single program site and is responsible for ensuring a safe, organized, fun and educational after school program.

Responsibilities
  • Create a smooth transition between instructional day and expanded learning program
  • Attend school site events to engage with parents, school staff and recruit participants
  • Work with Program Managers to strategically manage site level budget and create a spending plan that is in line with program plan
  • Ensure that program plans and calendars are up to date and posted
  • Build community support by providing high-quality programing that engages participants and provides a safe, healthy space to thrive
  • Maintain daily attendance records, ensure that all attendance deadlines are met
  • Have a clear line of communication with parents, school administration and site staff
  • Have regular site meetings
  • Maintain up-to-date records on all participants and site staff
  • Approve site staff timesheets with all deadlines
  • Distribute parent handbooks with up-to-date site policies and procedures and program registrations and hold parent orientation
  • Outreach with potential partners in the community to sustain program outcomes
  • Collaborate with appropriate school, community, public and private stakeholders to leverage program resources
  • Manage all incident reports and ensure that they are properly documented
  • Post, advertise and actively recruit participants for the program
  • Maintain and update FPM box
  • Attend all WFIT professional development opportunities
  • Hold weekly staff meetings on site
  • Manage site budget by making sure that staff are within their hours and that supplies being purchased are in line with program needs
  • Other responsibilities as assigned
Required Skills/Abilities
  • Excellent verbal and written communication skills
  • Excellent interpersonal skills and ability to work in a collaborative environment
  • Excellent organizational skills and attention to detail
  • Excellent time management skills with a proven ability to meet deadlines
  • Strong analytical and problem‑solving skills
  • Strong supervisory and leadership skills
  • Ability to prioritize tasks and delegate them when appropriate
  • Proficient with Microsoft Office Suite or related software
Education and Experience
  • Graduate or majoring in education, physical education, recreation or a related field is desirable
  • High school diploma or equivalent
  • Experience developing and implementing expanding learning programs and/or educational activities
  • At least one-year experience in a supervisor role
  • At least two years’ experience working with youth required
Physical Requirements
  • Must be able to lift up to 15 pounds at times
  • Regular physical activity participation is required
