Location: Lancaster, MA with regular meetings in Fitchburg and occasional meetings in Westford
Salary Range: $65,000 – $80,000
About the RoleWe are seeking a highly organized and proactive Closing Coordinator to manage all aspects of seller‑side real estate transactions from the point of signed Purchase & Sale (P&S) through to closing. This role plays a critical part in ensuring smooth, timely, and well‑communicated transactions by serving as the primary point of coordination among clients, real estate agents, and attorneys.
This is a fast‑paced, high‑volume position (typically 40–50 transactions per month) that requires strong attention to detail, excellent communication skills, and the ability to work independently while also being a collaborative team member.
Key Responsibilities- Manage seller‑side transactions from executed P&S through closing
- Maintain consistent and clear communication with clients, real estate agents, lenders, and attorneys throughout the transaction lifecycle
- Coordinate and track all necessary documentation, deadlines, and contingencies
- Schedule and prepare for closings; attend closings as needed (some travel required)
- Meet with clients in person at our Lancaster, Fitchburg, and occasionally Westford offices
- Proactively identify and resolve potential issues that could delay or complicate a transaction
- Maintain organized digital and physical files for each transaction
- Collaborate closely with attorneys and support staff to ensure seamless case progression
- Provide excellent client service, ensuring clients feel informed and supported throughout the process
- Background in a real estate‑related role is required
- Experience as a Transaction Coordinator (TC) in a real estate brokerage is highly relevant and strongly encouraged
- Paralegal experience is helpful but not required
- Must be able to “hit the ground running” with minimal training
