The Fairfield County Clerk of Courts is seeking a full‑time Deputy Clerk, Legal (Legal Division). This position involves a variety of administrative, clerical, and record‑keeping duties to support court operations within the Legal Department. Responsibilities include maintaining official court records, processing legal documents, assisting the public and legal professionals, and ensuring compliance with court procedures and legal requirements. The successful candidate will further the mission of Fairfield County—providing high‑quality services at exceptional value to taxpayers—while demonstrating a professional demeanor at all times and adhering to county and clerk policies.

Key Responsibilities
  • Document Processing: Receive, process, file, and maintain legal documents such as case filings, pleadings, motions, court orders, judgments, and subpoenas.
  • Mail and Communication: Process incoming and outgoing mail, distribute court notices, and manage electronic communications.
  • Data Entry: Accurately enter case data into the court’s case management system and update records as cases progress.
  • Cash Handling: Collect and process payment for fines, court fees, and other assessments; balance daily receipts; issue appropriate documentation and maintain secure handling of funds.
  • Compliance and Quality Control: Review legal documents for completeness and correctness; ensure accuracy, timeliness, and legibility before filing; report discrepancies or missing information; file documents in accordance with court rules and legal standards.
  • Record Keeping and Retention: File, archive, safeguard, and maintain legal records in compliance with state retention laws and court rules; prepare files for transfer to the Records Center when necessary.
  • Office Support: Provide clerical support to other departments, including mail handling, scanning, filing, and copying.
  • Collaboration: Work closely with the court, prosecutor, law enforcement, and other internal and external partners to support effective court operations.
  • Public Relations: Represent the office professionally when interacting with the public, attorneys, and government agencies.
  • Customer Service: Respond to inquiries from court staff, the public, attorneys, law enforcement, and stakeholders regarding procedures, case status, and filing requirements; assist with requests for copies, file reviews, and document certification while maintaining confidentiality.
  • Training Participation: Attend required online and in‑person training sessions.
  • Confidentiality: Handle sensitive information with discretion, maintaining confidentiality in accordance with all office policies and laws.
  • All other duties as assigned.
Qualifications
  • Valid Driver’s License
  • High School Diploma or GED
  • 1–2 years of clerical experience in a legal, court, or government office (preferred)
