Position Information
  • Job Title Administrative Specialist

  • Special Instructions to Applicants This position is being posted internally and to the public simultaneously in order to expedite the posting process. However, current Ohio University AFSCME 3200 employees will be considered first.
  • Please note, this position requires the successful candidate to work on the Lancaster Campus during business hours and employment is contingent upon the successful completion of a criminal background check.
Department specific functions include:
  • Faculty/Campus Support
    - Assist faculty and serve as the contact for other campus' faculty teaching over the OULN system with course materials. Work closely with faculty on special projects/committees. Collect and maintain records of each semester's course syllabus, faculty office hours and course textbook information. Maintain various databases. Work closely with the theater director to edit and print each production's playbill as well as assist with entering licensing agreements and ordering.

    Create and administer surveys using the university software to capture information for various projects.
  • Finance
    - Place orders for supplies and equipment as needed, assist with faculty and/or staff travel arrangements and create expense reports using the University system. Utilize the University procurement system to enter service agreements, orders, and payment requests. Work with suppliers to become vendors in the system. Submit invoices for processing payments to Accounts Payable. Maintain data and information for professional development funds and internal grant funding.
  • Event Planning
    - Provide administrative support for various workshops and conferences. Includes but not limited to surveys, editing brochures and programs, tracking registrations and payments, sponsors and vendors, and planning logistics of the event(s).
  • Provide backup/coverage in other areas on campus as needed such as Student Services, Cashiering or Testing, etc.
  • Collaborate as an integrated member of the campus in campus meetings, programs, activities and events. Other duties as assigned.

Job Responsibilities
  • May supervise or oversee the work of Technical & Administrative Support staff and/or student employees.
  • Resolves complex and unique problems that require an ability to interpret established policies and procedures.
  • Oversees department unit administrative processes.
  • Coordinates complex processes and initiatives such as grant proposals, contracts /or complex academic processes such as tenure case approvals, faculty searches, complicated course scheduling or sensitive graduate application processes.
  • Plans and implements projects, special events, and/or programs that require a high level of coordination with multiple constituents and departments.
  • Composes and edits internal and external correspondence and documents, including such things as manuscript submissions for scientific journals.
  • Manages academic courses and textbook information. Plans and maintains website as well as other department publications.
  • Prepares and monitors internal budget and other financial documents for a departmental work unit. Recommends purchases. Reviews and follows up on discrepancies in standard expenditures.
Minimum Qualifications

Knowledge of administrative practices, policies, procedures, office equipment, and computer software typically obtained by a high school degree or GED or equivalent and a minimum of 3 years related experience.

An equivalent combination of education, training, and experience is acceptable.
