Perform a variety of administrative duties to support executive leaders and ensure efficient business operations. This includes:
- Drafting and producing correspondence, presentations, reports and spreadsheets.
- Managing information requests for the President and coordinating responses.
- Drafting correspondence based on executive management input.
- Transcribing documentation from real‑time oral communication.
- Developing travel profiles, arranging travel accommodations and expense reporting.
- Managing and maintaining diaries, calendars and scheduling appointments.
- Drafting emails, maintaining confidentiality and responding to inquiries.
- Organizing data files, setting up directories and using MS Access or similar programs.
- Managing administrative processes and ensuring staff compliance with required steps.
- Maintaining office supplies and equipment inventory, ordering supplies, and preparing purchase orders.
- Liaising with department and ITS regarding communication devices and tools.
- Monitoring invoices and ensuring billing charges are appropriate.
- Attending meetings, taking minutes and summarizing action items.
- Distributing incoming and outgoing mail and documentation.
- Organizing on‑site and off‑site meetings, coordinating facilities and food/beverage service.
- Maintaining department budget and preparing budget reports.
- Assisting in training lower‑level administrative assistants.
- Managing special projects and other executive‑directed tasks.
- Coordinating small projects as directed.
Required:
- High school diploma or equivalent (Associate in Business or Secretarial Science preferred).
- Minimum ten (10) years of administrative experience in a fast‑paced, high‑level corporate environment.
- Proficiency in Word, Excel, PowerPoint and Outlook (Office 35).
- Typing speed of 70+ WPM; experience with MS Access preferred.
