Overview
Thompson Hospitality Facilities Division is hiring an Administrative Assistant at Lincoln University. Are you an organized professional who thrives in a fast‑paced environment? We are seeking a highly skilled Administrative Assistant to provide advanced administrative support and help drive the success of the department.
In this role, you will be responsible for managing complex administrative functions, supporting daily operations, and ensuring compliance with organizational policies and procedures. The ideal candidate is detail‑oriented, proactive, and capable of handling multiple priorities while maintaining confidentiality and professionalism.
Responsibilities- Coordinate and manage office operations to support departmental goals and maintain efficient workflow.
- Prepare, edit, and distribute correspondence, reports, presentations, proposals, and other business documents.
- Serve as a primary point of contact for visitors, employees, and external stakeholders, responding to inquiries via phone, email, and in person.
- Manage departmental and leadership calendars, including scheduling meetings and coordinating appointments.
- Arrange travel accommodations, develop itineraries, and prepare and reconcile expense reports.
- Plan, organize, and coordinate meetings, events, and special projects.
- Maintain an organized office environment while safeguarding confidential and sensitive information.
- Manage records and documentation, ensuring accurate filing, retrieval, and retention in accordance with established procedures.
- Order, track, and distribute office supplies and equipment while maintaining inventory levels.
- Support financial and administrative processes, including cash handling, bank deposits, purchase orders, account reconciliations, accounts payable, and accounts receivable activities.
- Complete recurring projects, special assignments, and other duties as needed to support departmental objectives.
- Strong organizational, communication, and multitasking skills.
- Ability to manage competing priorities in a high‑volume environment.
- Proficiency with office software and administrative systems.
- Strong attention to detail and commitment to accuracy.
- Ability to maintain confidentiality and exercise sound judgment.
- Excellent customer service and interpersonal skills.
- Ability to remain seated for extended periods while performing administrative and computer‑based work.
- Frequent use of a computer, keyboard, telephone, and other standard office equipment.
- Ability to communicate effectively in person, by phone, and through electronic communication.
- Ability to occasionally stand, walk, bend, stoop, and reach while performing office‑related tasks.
- Ability to lift, carry, and move office supplies, files, and materials weighing up to 20 pounds.
- Ability to attend meetings and events across campus or at off‑site locations as needed.
- Visual ability to read documents, analyze data, and perform detailed computer work.
- Ability to work in a fast‑paced environment and manage multiple priorities with frequent interruptions.
