Operations Coordinator
The Operations Coordinator at Fig Industries is a hands-on role designed to strengthen the operational foundation of the company. This person helps keep the organization connected, coordinated, and moving forward while building greater clarity and consistency for the team.
Primary ResponsibilitiesCompany wide Process Documentation:
- Identify and document company-wide processes and workflows, creating a clear understanding of how work moves across Fig Industries and Fig Lancaster and where responsibilities, dependencies, and handoffs exist.
- Build and maintain a centralized library of standard operating procedures (SOPs), templates, checklists, and operational resources.
- Document processes as they are currently performed before recommending changes, helping FI distinguish between proven practices, recurring processes, informal workarounds, and areas requiring greater clarity.
- Bring thoughtful observations and recommendations and assist with implementing agreed-upon process improvements.
- Help identify proven processes, standards, and practices that can be consistently taught, replicated, and supported across Fig Franchise locations.
Day-to-Day Operations & Workflow Coordination:
- Maintain an enterprise operational calendar of important deadlines, meetings, production schedules, and recurring activities.
- Maintain visibility around priorities, responsibilities, dependencies, and next steps.
- Identify potential roadblocks, missed handoffs, conflicting deadlines, incomplete information, or unclear ownership and bring them to the appropriate leader's attention.
- Support leadership in translating ideas and decisions into clear actions, owners, and timelines.
- Coordinate recurring leadership and operational meetings.
- Prepare agendas in collaboration with meeting leaders.
- Capture decisions, action items, owners, and deadlines and coordinate appropriate follow-up.
- Help information flow effectively across Fig Industries, Fig Lancaster, finance, business growth, and creative/delivery teams.
- Support annual team meetings and other company-wide activities.
People & Studio Operations:
- Coordinate onboarding logistics for new team members.
- Maintain current job descriptions, operational policies, organizational documents, and employee handbook materials as directed by leadership.
- Coordinate team training schedules and maintain appropriate records.
- Support recruiting and interview logistics as needed.
- Coordinate employee recognition and team-building activities.
- Help ensure FI's Core Values remain visible throughout team processes and everyday operations.
- Build effective working relationships across teams; communicate clearly, follow up on commitments, and help reinforce accountability.
- Recognize when workload, role clarity, communication, or accountability issues are affecting operations and elevate them to the appropriate leader.
- Manage daily studio needs such as ordering supplies, managing cleaning staff and studio maintenance as needed.
- Welcome guests and offer hospitality to studio visitors
Franchise Operations Support:
- Coordinate franchise onboarding and training logistics
- Maintain supporting documentation, playbooks, templates, and process resources; and provide recurring operational process support.
- Coordinate franchise support requests and ensure they reach the appropriate owner.
- Maintain visibility around franchise commitments, deadlines, training, and follow-up.
- Help create a stronger foundation for franchise scalability by making appropriate processes and standards easier to teach, replicate, support, and improve across locations.
- Bachelor's degree in business, communications, organizational leadership, project management, or a related field preferred; equivalent relevant experience considered.
- 2–5 years of professional experience in operations, project coordination, account coordination, production, business administration, or a related environment.
- Exceptional organizational skills and attention to detail.
- Ability to manage multiple priorities, projects, and deadlines simultaneously.
- Strong written and verbal communication skills.
- Strong problem-solving and critical-thinking skills.
- Proficient with or able to quickly learn CRM, project management and other business software; comfortable using technology to organize information, track workflows and deadlines, maintain accurate records, and improve operational visibility. (Experience with Salesforce and/or Wrike a plus.)
