The Corporate Workspace Manager will oversee all corporate facilities, including expansion, upgrading, and maintenance. This role is responsible for ensuring ifm efector US facilities promote a clean and safe working environment while meeting the strategic and functional needs of the business. The role embodies an employees‑first culture and creates an environment where innovation and collaboration flourish by providing world‑class facilities.
Job Responsibilities- Manage and direct the company facilities portfolio throughout the USA with emphasis on providing a welcoming environment for all colleagues and guests.
- Perform various duties including creating beautiful and functional work spaces that support a collaborative environment and reflect the ifm corporate design and culture. Manage and oversee construction projects and new office openings.
- Facilitate selection of new Sales Offices across the USA including office search, space planning, fit out and furnishings. Provide leadership and direction for facilities maintenance, vendor management, space planning, office reconfiguration, office refresh and renovations, and move management. Facilitate negotiations and renewal of office leases for ifm facilities.
- Forecast, allocate, and supervise financial and physical resources, including capital budgets.
- Ensure that all facilities are well maintained whether under direct supervision or through external landlords/building owners. Direct and manage all building services, maintenance, upkeep, refurbishment, and improvement of physical assets, including routinely used replacement parts, and schedule building inspections. Plan and schedule preventative maintenance, required safety and building inspections (Fire, Elevator, Sprinkler, HVAC, Security, etc.) with minimum disruption to business operations.
Ensure any necessary repairs are completed timely. - Develop strong relationships with property management at all locations. Serve as primary point of contact for all landlords/building owners, facility vendors and trades. Manage vendor relationships and maintenance contracts, and confirm contractual requirements to ensure 100% execution and accuracy of service.
- Ensure emergency preparedness and coordinate emergency services during events. Facilitate and manage security systems at corporate locations including badge management, access control, CCTV, and response to security/fire alarms. Coordinate with HR to provide access badges for new employees and disable badges for terminated employees. Responsible for building key management at all locations.
- Travel to offices throughout the USA to establish and maintain face‑to‑face relationships and hands‑on experience in day‑to‑day operations and functions. Travel ~25%.
- 8 years of professional experience in corporate workspace management.
- Servant leadership mindset.
- Broad understanding of facilities, construction, financial and vendor management.
- Project management training and certification preferred.
- Knowledge of building space allocation, layout, planning, and projects.
- Self‑motivated and proactive in maintaining exceptional building and facility standards.
- Working knowledge of Microsoft Office Suite and MS Teams is required.
- Positive attitude and interest in building relationships and providing consistent and reliable service to employees.
- Aptitude to oversee and prioritize multiple projects simultaneously and meet time‑critical deadlines.
- Ability to analyze emergency situations accurately and take prompt actions.
- High energy; demonstrate integrity and commitment to quality of work.
