The Opportunity
Leavitt Industrial Group is looking for a Lease Administrator (18-month contract) to join our team in Langley, British Columbia . As the Lease Administrator you will support the Equipment Finance and Leasing team by managing administrative, invoicing, documentation, and system-related activities.
As the Lease Administrator your key responsibilities will include:
Open and maintain CRM opportunities for internal and external leasing transactions
Run weekly batch invoices and create consolidated invoice reporting for customers
Perform lease order audits to validate data accuracy and completeness
Support and coordinate delivery freight for internal leasing deals
Prepare and submit lease invoices through customer portals across all dealerships
Review and submit lender invoices (PLL) to Accounts Payable
Process service-related invoices, including out-of-territory charges
Create and manage purchase orders related to freight, repairs, battery maintenance, and leasing activities
Monitor and manage expiring or overspent purchase orders
Managing customer insurance records by monitoring policy expirations, requesting updated insurance certificates, and ensuring compliance with company insurance requirements
Obtain and update equipment usage hours from customer portals, telematics systems, and national accounts
Support bank audits and monthly reconciliation activities
Prepare reporting on expiring registrations and lease activity
Required
Skills & Qualifications
The ideal candidate will possess the following skills, knowledge, and competencies:
At least one year of prior administrative experience
Proficiency in Microsoft Office Suite (Excel, Word, Outlook, PowerPoint); advanced Excel skills preferred
Familiarity with Microsoft Dynamics CRM is a plus
Strong analytical skills and keen attention to detail
Excellent written and verbal communication skills
Professionalism and strong teamwork skills
Customer-focused with a commitment to ensuring high service standards

The base pay range for this role is: $50,000 to $55,000, depending on experience.
This is a Hybrid role based in Langley, British Columbia .
