Salary Range: $30,000.00 To $35,000.00 Annually

Hours of Work:
This position is for 28 hours per week. The preferred schedule is 5 days per week but flexible for the right candidate and around the pay cycle.

Position Purpose and Summary
The Payroll and Benefits Administrator is responsible for the accurate and timely processing of payroll, ensuring compliance with relevant regulations, and providing exceptional customer service to employees regarding payroll inquiries and issues.

This role reports to the Team Lead, Payroll & Administration and maintains accurate payroll records, processes payroll transactions, and resolves payroll discrepancies.

Key Areas of Accountability
Payroll Processing

Ensure that all information affecting an employee’s pay is processed accurately and on time including new contracts, terminations, salary changes, leaves, faculty payments, etc.

Assist in preparing and submitting the semi-monthly Canadian and US Payrolls.

Run payroll audits to ensure accurate records.

Issue Records of Employment in a timely and accurate manner.

Data Management

Maintain accurate and up-to-date electronic payroll files for all employees.

Maintain and update employee payroll records, as needed, including personal information, pay rates, and tax with holdings.

Update employee time off balances, when necessary.

Employee Support

Address and resolve payroll-related inquiries and issues from employees.

Provide information to employees regarding payroll policies and procedures.

Provide coverage for the Team Lead, Payroll & Administration on all payroll matters, as necessary.

Prepare and submit union deduction and benefit reports on a monthly basis.

Prepare and submit RRSP contributions report to Sun Life.

Reconcile benefit invoices with payroll deductions and make necessary adjustments.

Support the Coordinator, Centres of Excellence with benefits enrolments and changes.

Reporting and Compliance

Generate payroll reports for People & Culture as required.

Assist with internal and external audits by providing payroll data and documentation.

Support in the year-end process including year-end audits as required.

Stay updated on federal and provincial regulations affecting payroll.

Process Improvement

Identify opportunities for process improvements within the payroll function.

Implement best practices and streamline payroll processes.

Leverage technology to enhance payroll efficiency and accuracy.

Technical Skills

Knowledge of Microsoft 365 suite.

Knowledge of ADP considered an asset.

Strong understanding of Canadian payroll regulations and tax laws.

Payroll processes and compliance requirements.

Benefits administration practices.

Communication and Interpersonal Skills

Excellent written and verbal communication skills.

Ability to collaborate with various departments and stakeholders.

Strong problem-solving and analytical skills.

Ability to handle sensitive employee information with the utmost confidentiality and security.

Education :
Undergraduate degree, courses with the National Payroll Association is considered an asset.
