Position Purpose and Summary
The Project Manager will assist with projects that fall within the operations of the Facility Services department. This person will liaise with many different stakeholders, vendors, prepare action plans, analyze risks and opportunities, and gather necessary resources.
Under the general direction of the Facility Services, Director, this position is responsible to design, specify, tender, award and oversee allocated capital renewal projects for Trinity Western University (TWU). This is a capital project planning, development, and management function involving technical, contractual, planning, supervisory, and financial activities in support of capital project delivery. The work involves applying project planning and development and technical knowledge to new construction, renovation and major maintenance projects to meet the needs of TWU user groups.
The Project Manager develops scope of work, reviews fee proposals, co-ordinates activities of architects, consultants, contractors and liaises with university personnel. The Project Manager exercises considerable independence of judgment and action in order to maintain project budgets and schedules for several projects simultaneously.
Key Areas of Accountability
Capital Projects
Monitors facilities space use and prepares recommendations to increase utilization through both operational changes and renovations.Completes space planning and interior designing for space modifications including scheduling; quoting; bidding; field inspection and final check for completion of projects.Provides expertise and assistance to the TWU staff in determining space layouts to optimize space utilization.Initiates innovative approaches to improve both space utilization and the overall working and learning environment at the University.Participates in a consultative process with facility users, designers, and appropriate administrators during the planning phase of projects.Maintain record management for TWU facilities, contractors, and vendors.Establish and maintain digital and physical files including asset listing, drawings (incl. scanning and printing), inventory of furniture assets.Ensure that all necessary documentation for the proper maintenance of campus equipment and buildings is catalogued.Review, and process departmental invoices to TWU Accounts PayableHelp coordinating work ordersTake minutes in meetings, keep track of tasks to be doneLiaise with stakeholders regarding moves and assist with logisticsMeasuring and photographing.Drives the commissioning process ensuring what was designed, and paid for, was constructed.Interprets and complies with codes, regulations, bylaws and all applicable legislation relating to the facilities.In Conjunction with the Facility Services Team and the Capital Projects team, develops standards for facilities renovations.Other duties as assigned by the Director of FacilitiesContractor & Vendor Management
Ensure proper procurement processes are followedPreparing RFP & RFI’s for larger projectsObtaining multiple quotesCoordinate contractors and vendorsCompleting vendor and contractor assessments on a recurring basisDepartmental Support
Ensures office efficiency (maintenance of office equipment, routing of visitor, staff, faculty, and student inquiries, distribution of mail, general reception).Monitor the budget and prepare reports.Coordinate the deployment of departmental and campus policy as it relates to TWU.Familiar with and able to generate reports in CAD/CAFM, MS Project, PowerPoint, Excel and WordSupport and co-operate with other Campus Services Departments including Security, and Facility Services i.e. (Maintenance Services, Grounds Services, and Building Services) as required.Provide hands-on support as needed by the department (e.g., moving of physical files, furniture, etc.)The Person
Skills and Abilities
General knowledge of construction contract law, CCDC documents, CCAC documents, public tendering practicing including use of BC Bid, bonding and surety, bid depository rules and procedures.Thorough knowledge of project scheduling and coordination.Thorough knowledge of current building technology for architectural, mechanical, electrical and structural disciplines. Thorough knowledge of materials and methods used in building construction.
