The Academy of St. Matthias the Apostle is seeking a warm, organized, and professional Front Desk Receptionist/Administrative Assistant to serve as the first point of contact for our school community. This individual plays a critical role in creating a welcoming, safe, and efficient environment for students, families, and visitors while supporting daily administrative operations. This is a full time position and will report to the Principal – the hourly rate of pay is $19.00 to $22.00 with excellent benefits.
Key Responsibilities- Front Office & Communication:
Answer phones and provide accurate, timely information - Greet and assist visitors with professionalism and warmth
- Manage front office flow and ensure a welcoming environment
- Handle parent inquiries regarding school policies and procedures
- Maintain student and family records
- Manage school databases and mailing lists
- Prepare correspondence, forms, and communications
- Support scheduling, calendars, and office organization
- Manage incoming and outgoing mail
- Maintain office supplies and inventory
- Assist with school events, communications, and coordination
- Support website updates and basic communications
- Monitor visitor access and maintain security protocols
- Ensure proper sign‑in/sign‑out procedures
- Support adherence to school policies and procedures
- Provide excellent customer service to families
- Support parents with day‑to‑day needs and questions
- Communicate with patience, clarity, and professionalism
- High school diploma
- 3–5 years of administrative or customer service experience
- Strong communication and organizational skills
- Ability to multitask in a fast‑paced school environment
- Experience in a school setting – preferred
- Familiarity with school systems or databases
- Bilingual (Spanish preferred)
- Warm, welcoming presence
- Strong communication skills
- Attention to detail
- Ability to remain calm and professional under pressure
