Title: Administrative Assistant, Health Suite – Middle School

Reports To: School Nurse

Takes Direction From: Principal/School Nurse

Schedule/Calendar: 7hours/day 35hours/week 187days/year

Summary: Performs secretarial functions in the school health suite such as daily typing, filing, photocopying, and distributing courier and postal mail for nurses in the health suite. Uses knowledge of district and building procedures to complete assigned functions and assists nursing staff in the operation of the health suite

Essential Functions:

  • Schedules student appointments and prepares passes for all students who will be participating in any school immunization program offered by the Montgomery County Health Department
  • Schedules student appointments and prepares passes for students when school dentist visits
  • Sends follow up referrals to parents if dental work is recommended
  • Schedules appointments and prepare passes for students when school doctor visits for school physicals
  • Sends doctor referrals to the parent
  • Gives students bandages, ice, contact lens solution, or personal items when appropriate
  • Requests health records from previous school for all incoming students
  • Forwards health records to schools for students who have withdrawn
  • Prepares follow-up passes for all students missing scoliosis, height, weight, vision or hearing screenings
  • Records number of times student is absent or tardy on treatment card
  • Maintains the welcoming ambiance of the waiting area in the health suite
  • At end of school year, helps close health suite and stores all equipment and medical files for summer
  • Changes file drawers and types new folders for the new school year
  • Files all incoming 7th grade records and treatment cards from all elementary schools
  • Pulls all 9th grade records and treatment cards to be forwarded to the high school
  • Observes all district policies and administrative regulations regarding attendance, confidentiality and community relation
  • Additional duties as assigned by supervisor

Education and/or Certification

Required:

  • High School Diploma

Experience Needed:

  • Minimum two years secretarial experience

  • Experience with general office equipment (Fax/Xerox/Telephone systems)
