Overview
Primarily responsible for receiving and inventory areas, coordinating, storing, stocking, and distributing a wide variety of mail, materials and supplies throughout the building, including mail room, print center, IT, etc. Unloads shipments from receiving dock, sorts items for delivery, maintains archival file storage, and prepares files for storage or destruction off site. Requires interaction with buyers, delivery personnel, and employees throughout the company.
Progression to a Level II position is possible with performance.
Working conditions: May work outside in all weather conditions. All safety requirements must be followed carefully. Travel is required. Steel‑toe boots required. This work may be physically demanding: ability to move or lift heavy objects up to 70 lbs, standing, bending, squatting, kneeling and climbing a ladder.
Responsibilities- Maintains company stock & inventory and assists with purchase requests.
- Fulfills, ships, and delivers stock materials and special orders to departments.
- Maintains a supply of marketing materials and processes marketing and claim kit orders, collecting, combining, and shipping kits to policyholders.
- Collects special orders & USPS mail using company vehicle as required.
- Assists with preparation for corporate displays at exhibitions, conferences, trade shows, etc.
- Retrieves claim documents, maintains storage and inventory for 30 days and properly disposes of confidential documents in accordance with record retention guidelines.
- Verifies contents of deliveries for accuracy and/or damage.
- General upkeep and maintenance of receiving area & equipment.
- Maintains production activity & inventory logs as requested by area leadership.
- Maintains computerized spreadsheet of specialized inventory.
- Maintains archival file storage, including removal of files from departments, cataloging and storing files, working with internal departments to meet corporate retention guidelines and preparing files for storage or destruction off‑site.
- Delivers final products to appropriate parties for distribution.
- Maintains confidentiality of materials in process both in draft and final form.
- Assists as needed during special events and projects.
- Creates name tags and signs for building.
- Utilizes the Asset Tags and Disposals system.
- Assists with coordination of building recycling (i.e., collection, scheduling) and serves as point of contact with recycling vendor.
- Compiles reports for management (e.g., tracking of off‑site boxes with vendors).
Additional responsibilities for Receiving & Inventory Clerk II:
- Reviews, prioritizes, and coordinates work coming into the receiving area or stock room; monitors workflows to ensure timely completion and accurate deliveries.
- Provides individual and group training to others as needed.
Education and experience
- High school diploma or G.E.D.
- Receiving & Inventory Clerk I:
No experience required. - Receiving & Inventory Clerk II:
One year experience as Receiving & Inventory Clerk I, or equivalent experience providing necessary skills, knowledge, and abilities.
Qualifications
- Effective communication skills.
- Excellent organizational skills and ability to prioritize work.
- Basic math skills.
- Ability to manage work with minimal direction.
- Ability to enter alpha/numeric data accurately.
- A valid driver’s license.
- Ability to move or lift heavy objects up to 70 lbs unassisted.
- Basic computer skills.
- Basic spreadsheet software skills.
- Ability to meet established deadlines.
- Ability to establish a personal rapport at all levels of the organization, including external customers and managers, and to resolve conflicts in a professional manner.
- Thorough knowledge of departmental procedures and workflows.
- Ability to communicate properly and provide clear direction to staff members and other departmental contacts.
- Basic word processing software skills.
- Demonstrated proficiency in all responsibilities listed for Level I.
- Six months’ experience in shipping/receiving (preferred).
