Our client is a manufacturing company in Lansing with a close-knit team and a strong culture of collaboration and professional development. They are seeking an Accounting Administrative Assistant to provide day-to-day support across both accounting and office operations. This is a dual-function role that offers meaningful exposure to finance, sales support, and event coordination within a stable, structured environment.
Roles & Responsibilities
- Process invoices and manage accounts payable (AP) and accounts receivable (AR)
- Perform daily data entry, bank transaction pulls, and cash receipt reconciliation
- Complete weekly check runs, credit card reconciliations, and billing tasks
- Reconcile monthly bank statements against the accounting system
- Reconcile vendor statements and assist with expense tracking
- Make follow-up calls on behalf of the sales/quoting team
- Answer and route incoming calls; manage incoming/outgoing office correspondence
- Schedule meetings, coordinate calendars, and maintain key dates (reviews, events, birthdays, work anniversaries)
- Arrange business travel including flights, rental cars, and hotel accommodations
- Coordinate quarterly all-team and in-house training events, including invitations, catering, and facilitation support
- Purchase and maintain office supplies, marketing materials, and branded items
- Create and edit PowerPoint presentations and reports for leadership
- Use Adobe Acrobat for document editing, PDFs, and form management
- Maintain organized filing systems for accounting and HR records
- 2+ years of administrative and/or accounting support experience (recent grads with relevant coursework will be considered)
- Working knowledge of accounts payable and accounts receivable processes, including proper transaction classification
- Proficiency in Microsoft Office Suite, especially Excel, Word, and Outlook
- Experience with an ERP or accounting software system
- Experience with Adobe Acrobat or Adobe Creative Suite
- Strong organizational skills with the ability to manage daily, weekly, monthly, and quarterly task cadences
- Excellent written and verbal communication skills; comfortable on the phone
- Ability to multitask across accounting and administrative responsibilities without losing accuracy
- Discretion and ability to maintain confidentiality of financial and HR information
- Associate or bachelor's degree in Accounting or Business preferred, but not required
