Overview

We are seeking a professional, detail-oriented, and highly organized Receptionist to join our team at a well-established financial advisory firm. This front-desk role is pivotal to the success of our daily operations and client experience. The ideal candidate will be personable, efficient, and proactive, with excellent multitasking skills and a strong sense of discretion and professionalism.

Responsibilities
  • Administrative & Office Support
  • Greet clients and visitors with warmth, professionalism, and discretion
  • Manage multiple calendars for advisors and staff, including scheduling and confirming client meetings and internal appointments
  • Answer multi-line phones, check voicemails, and relay detailed messages promptly and accurately
  • Check, sort, and distribute incoming and outgoing mail daily
  • Perform digital and physical filing to maintain organized client and firm records
  • Pull client statements, reports, and other documentation to prepare for meetings
  • Process client distribution requests according to firm procedures and regulatory standards
  • Office Maintenance & Supplies
  • Maintain a clean, tidy, and professional office appearance by wiping down surfaces, restocking supplies, and performing light cleaning as needed
  • Monitor and restock office and kitchen supplies regularly
Qualifications
  • Previous experience in a receptionist, administrative assistant, or office coordinator role; experience in a financial services environment preferred
  • Exceptional verbal and written communication skills
  • Strong organizational skills and attention to detail
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel) and comfort with financial CRM or database systems
  • Ability to manage multiple priorities and meet deadlines in a fast-paced, professional setting
  • High level of integrity and confidentiality when handling sensitive client information
Preferred Skills
  • Familiarity with financial statements and client-facing financial documents
  • Experience with scheduling software and calendar management tools
  • Comfort working in a regulated, compliance-driven industry
