Disability Rights Michigan (DRM) has an immediate full-time (37.5 hours per week) Program Assistant position in the Lansing office. This position is required to be in the office Monday-Friday. The Program Assistant provides administrative support to the various teams within DRM.

Duties included are not limited to:

  • Assists teams by giving and requesting information to clients, service providers and others as directed by team members.
  • Opening, setting up and maintaining case files, and database.
  • Requesting records and sending out required agreements to clients.
  • Drafting and typing routine correspondence.
  • Proficient in Microsoft Outlook, Word, Excel, One Drive, Teams, and SharePoint.

Three years of progressively responsible administrative support, human services, and disability rights experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Associates degree preferred. Two to four years of related secretarial experience.

Responsibilities
  • Duties include, but are not limited to: opening, setting up and maintaining case files, logs; preparing and sending out releases and retainer agreements; requesting records; organizing case files that have been prepared for closure by putting them in proper ordering of required documentation and completing the closed file audit checklist for manager’s review.
  • Drafting and typing routine correspondence, case and project notes and memorandum from verbal or written instruction; processing mail; and maintaining/organizing closed service requests.
  • Handles incoming telephone calls; provides information in accordance with agency policy, takes accurate messages.
  • Gathers information, maintains intake database, maintains data for permanent storage, corrects record entries, and pursues data that is missing or otherwise unavailable.
  • Attend staff meetings and maintain meeting minutes.
  • Assists team by giving and requesting information to clients, service providers, and others as directed by team members.
  • I&R closing reports for managers review and mailing of survey cards.
  • Assists and participates in development and updating of priorities and work plans.
  • Performs research, compiles, maintains, analyzes, and reports on specific data related to team projects.
  • Collects and reviews staff time sheets, leave slips, and travel vouchers for accuracy.
  • Completes administrative requirements and necessary documentation required by the agency.
  • Attends team area and agency staff meetings, training, and in-service programs in office, virtually or off-site as required.
  • Provides Information and Referral phone support and coverage as needed.
  • Performs other related duties as assigned.
Qualifications
  • Three years of progressively responsible administrative support, human services, and disability rights experience; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities. Associates degree preferred.
  • Two to four years of related secretarial experience.
  • Must have strong work ethic and experience in human service area.
  • Demonstrated effective communication and problem-solving skills, including the ability to listen and respond in a diplomatic manner.
