Faculty Services Manager

Primary

Purpose:

The Faculty Services Manager provides operational leadership and day‑to‑day supervision of the Faculty Services team, reporting directly to the Associate Dean of Academic Affairs. This hands‑on manager oversees daily operations, supports key departmental functions, supervises four staff members, manages departmental budgets, coordinates faculty and academic support services, and serves as the primary liaison to law school leadership.

Responsibilities
  • Team Supervision & Department Leadership – Supervise and support a team of four Faculty Services staff, coach and evaluate performance, conduct performance reviews, plan employee development, lead recruitment, onboarding and training, enforce corrective action, and establish team priorities and workflows.
  • Operational & Workflow Management – Maintain knowledge of faculty services functions (exam administration, legal documents, adjunct support, web content, events), evaluate and improve workflows, act as the escalation point for complex requests, triage requests with the Legal Specialist III, and collaborate with campus partners such as the Registrar’s Office, Student Affairs, and Business Services.
  • Exam Management & Assessment Support – Lead scheduling, preparation, delivery, and troubleshooting of exams, maintain expertise in Exam Soft, and ensure processes are accurate, secure, confidential, and FERPA compliant.
  • Faculty & Adjunct Support – Provide advanced administrative support to faculty, manage the adjunct faculty program (contracts, database, communication with >60 adjuncts), support research and scholarship activities, coordinate student research assistant and fellow placement, partner with the Advocacy Center for moot court logistics, and serve as a resource on document management, copyright, website content, and academic technology.
  • Budget & Financial Oversight – Manage Faculty Services budgets, monitor expenditures, approve purchases, reconcile financial transactions, track departmental expenditures with the Executive Assistant to the Associate Deans, and collaborate on budget development, forecasting, and long‑range planning.
  • Strategic & Institutional Responsibilities – Act as a thought partner to the Associate Dean, maintain institutional knowledge, represent faculty services on committees and initiatives, and lead continuous improvement initiatives, adopting technologies to meet evolving needs.
  • Legal Document Production & Administrative Support for Associate Deans – Assist associate deans with drafting scholarly works, format letters, PDFs, and emails, coordinate class materials and web postings, manage scholarship postings, secure copyright permissions, and provide technical support for the OSCAR judicial recommendation system and clerkship process.

  • Integrity, professionalism, confidentiality, and strong judgment in triaging sensitive requests.
  • Comprehensive understanding of legal document production, citations, and terminology.
  • Proficiency with Exam Soft assessment management and grading analysis.
  • Strong project management skills for overseeing multiple concurrent workflows.

  • Superior interpersonal, negotiation, conflict resolution, and inclusive workplace skills.
  • Familiarity with collective bargaining agreements and supervisory responsibilities.

Required Education & Experience
  • Bachelor’s degree or equivalent combination of education and experience.
  • Five or more years of experience in legal, academic, or professional services administration.
  • Three or more years of supervisory or team lead experience, preferably managing unionized staff.
  • Demonstrated experience managing budgets and financial processes.
  • Experience with legal document production, exam management, or academic support services.
