We're known for our commitment to excellence, innovation, and people. We’re currently seeking a Spanish-Speaking Administrative Assistant to support our Human Resources and front office operations. Requirements- Must be fluent in English and Spanish (written and oral)
- Comfortable with public speaking in both languages
- 18 years or older with reliable transportation
- Strong attendance, especially during the 60‑day probationary period
- High attention to detail and ability to follow instructions
- Able to work independently and as part of a team
- Willingness to follow all safety procedures and wear required PPE
- Proficient with Microsoft Office and standard office equipment
- Ability to handle confidential information with discretion
- Translate work instructions, signage, forms, and notices from English to Spanish
- Provide on-the-spot interpretation for:
- Employee write‑ups
- HR and personnel meetings
- Payroll and benefit discussions
- Performance evaluations
- Conduct interviews and orientations for Spanish-speaking candidates
- Support recruitment by contacting and communicating with Spanish-speaking applicants and employees
- Maintain a consistent and professional presence at the front desk
- Greet and check in visitors; issue badges and direct to appropriate personnel
- Schedule appointments and assist with applicant inquiries
- Distribute contractor packets and retain signed documentation
- Manage incoming calls on a multi-line phone system
Use paging system and assist with internal communication efforts
Administrative & HR Support- Complete and file I-9 forms
- Enter new hires into ADP payroll system
- Track employee attendance, call-ins, tardies, and FMLA
- Complete attendance write-ups for employees as attendance points increase
- Maintain and organize personnel files, spreadsheets, and attendance documentation
- Manage voicemail, fax, and interview tracking systems
- Prepare materials for interviews, orientations, and employee communications
- Maintain stock of office, HR, and production supplies
- Unpack and organize supplies in designated areas and lockers
- Keep lobby, conference rooms, and work spaces clean and organized
- Update and maintain communication boards and signage
- Report any maintenance or janitorial needs promptly
- Support HR, Payroll, and other office staff as needed
- Assist in planning and executing company events, theme days, and employee celebrations
- Perform other duties as assigned by management
