We are seeking a detail-oriented Client Service Associate to support account openings, asset movements, and day-to-day administrative operations. This role is critical to ensure accurate, timely, and compliant processing of client requests while maintaining a high standard of client communication and organization.

This position is best suited for someone who thrives in a structured, process-driven environment and takes pride in accuracy and follow-through.

Key Responsibilities
  • Prepare and process account opening paperwork, including required custodial and compliance forms
  • Review paperwork for completeness, accuracy, and required signatures before submission
  • Track pending account openings and asset movements and follow up as needed
  • Upload, name, and organize documents correctly in Share File/CRM systems
  • Communicate with clients via email regarding missing items, next steps, and status updates
  • Scan, file, and maintain digital client records
  • Follow established Standard Operating Procedures (SOPs) and compliance guidelines
  • Escalate issues or discrepancies promptly to the Client Service Lead or Advisor

  • Prior experience in financial services, banking, or wealth management
  • Familiarity with custodians and account paperwork (ACATs, applications, order forms)
  • Experience with document management systems or CRMs
  • Bilingual (Spanish preferred but not required)

  • Account openings and asset movements are processed accurately and on time
  • Minimal errors or rework due to missing or incorrect information
  • Client communications are clear, professional, and timely

    Tasks are tracked, followed up on, and completed without reminders
  • SOPs are followed consistently and correctly

This role requires consistency, precision, and accountability. It is not a sales position and is best suited for someone who finds satisfaction in doing things correctly and completely.
