Position: Administrative Assistant, G12, Constable Pct. 3
Job Summary

This position is responsible for providing administrative assistance for the operations of the Constable's Office.

Major Duties

* Coordinates the Constable's schedule.

* Answers telephone and greets visitors; provides information and assistance; takes messages; refers to appropriate personnel.

* Enters all civil processing paperwork from the court; maintains records of all distributions to Deputy Constables.

* Gathers and prepares daily citations.

* Coordinates meetings and appointments for department administrators.

* Collects funds and balances cash receipts.

* Coordinates employee travel arrangements.

* Assists in processing requisitions and payment requests.

* Maintains employee attendance records.

* Documents department staff meetings.

* Generates monthly service reports.

* Maintains the mail log.

* Assists with sign-up and continuing education for employees and reserve personnel.

* Prepares a variety of forms.

* Assists in the location of addresses.

* Maintains department office equipment.

* Assists in managing the department budget.

* Performs any other duties as assigned.

Knowledge, Skills, and Abilities

* Knowledge of modern office practices and procedures.

* Knowledge of county and departmental policies and procedures.

* Knowledge of computers and job-related software programs.

* Skill in prioritizing and organizing work.

* Skill in the use of such office equipment as a computer, scanner, fax machine, copier, and cash register.

* Skill in oral and written communication.

* Ability to communicate orally and in writing in the English language and orally in the Spanish language.

Minimum Qualifications

* Must have a high school diploma or GED from an accredited institution.

* Must have at least one ( 1 ) year of general work experience.

Complexity/Scope of Work

* The work consists of related administrative duties. Frequent interruptions contribute to the complexity of the position.

* The purpose of this position is to provide administrative support for the operations of the department. Successful performance contributes to the efficiency and effectiveness of those operations.

Physical Demands/Work Environment

Occasionally

* Ascending or descending ladders, stairs, scaffolding, ramps, poles, etc.

* Moving oneself in different positions to accomplish tasks in various environments, including tight and confined spaces.

* Moving to accomplish tasks or moving from one worksite to another.

* Adjusting or moving objects up to 20 pounds in all directions.

* Operating motor vehicles or heavy equipment.

* Driving a County vehicle or a personal vehicle for County business.

* Working in low temperatures.

* Working in high temperatures.

* Working in outdoor elements such as precipitation and wind.

* Working in noisy environments.

* Working in hazardous conditions.

* Working in poor ventilation.

* Working in small and/or enclosed spaces.

* Working in adverse environmental conditions is expected.

* Light work that includes carrying objects up to 20 pounds.

* Medium work that includes carrying objects up to 50 pounds.

* Heavy work that includes carrying objects up to 100 pounds or more.

Constantly

* Remaining in a stationary position, often standing or sitting for prolonged periods.

* Communicating with others to exchange information.

* Repeating motions that may include the use of wrists, hands, and/or fingers.

* Assessing the accuracy, neatness, and thoroughness of the work assigned.

* Sedentary work that primarily involves sitting/standing.

* Light work that includes carrying objects up to 20 pounds.

Other Requirements/Information

* Must possess a valid and current Texas driver's license.

* Drug and Alcohol Policy applies to this job. Pre-employment drug/alcohol testing, Motor Vehicle Record (MVR), and criminal background checks are required.

* This position is covered by Civil Service; therefore, is subject to the Civil Service Rules and Regulations in addition to all other Webb County policies.
