Registrar Services Specialist I
Location:
Laredo, Texas – Salary: $17.54/hour – Department:
University Registrar
The Registrar Services Specialist, under direction, provides administrative and operational support to update student records, implement customer service initiatives, conduct training sessions, enter grade changes, and update degree programs.
Responsibilities- Review documents and forms for completeness, track files for follow‑up, and distribute them for review.
- Research and resolve complex issues, responding to inquiries.
- Input data and update electronic databases.
- Assist with the administration of financial processes.
- Advise, investigate, problem‑solve, and resolve questions and issues about student accounts.
- Coordinate and perform training sessions (as needed).
- Support records management operations while complying with federal, state, and university retention policies.
- Provide full‑cycle records management services for inactive records, including timely disposal of confidential and sensitive records.
- Receive and evaluate transcripts and credit by examination results; enter transfer work into the student records transfer credit system while maintaining general transfer equivalencies; respond to inquiries concerning transfer credit.
- Advise and examine academic records of students to determine progress toward degree and eligibility for graduation.
- Disseminate information to students, including program admission criteria, course registration options, and degree completion requirements; refer students to appropriate university offices for assistance when needed.
- Teach students about program monitoring and planning based on catalog requirements.
- Assist with graduation activities and final check‑outs.
- Assist with the general functions and activities of the Office of the University Registrar.
- Participate in professional development opportunities to enhance advising knowledge and record management skills.
- Education:
Bachelor’s degree from an accredited institution of higher education. - Experience:
One year of experience in student services, retention, advising, or a related area.
- Proficiency in word‑processing, spreadsheet, and database programs.
- Understanding of general office practices and procedures.
- Effective oral and written communication skills.
- Professional interaction with the general public and students.
- Strong organizational and independent task‑completion skills.
- Excellent time‑management abilities.
- Capacity to maintain confidentiality and comply with federal, state, system, and institutional rules and regulations.
- Position requires a flexible schedule, including evenings and/or weekends.
- Position requires on‑campus, face‑to‑face interactions.
- Position requires maintaining a regular schedule of attendance on campus and in the workplace.
- Physical environment:
General office setting.
